Advanced Air Systems, a division of Advanced Roofing, Inc., is seeking a qualified and motivated HVAC Service Coordinator to join our growing service department. Position Summary The HVAC Service Coordinator is responsible for handling all incoming service calls and inquiries from initial client contact through to work order completion, billing, and collections. This role supports field technicians, clients, and vendors through effective communication and administrative coordination, while maintaining an accurate and up-to-date customer database. Key Responsibilities Process all incoming client service, maintenance, and warranty calls professionally Assign service tickets to technicians based on schedule and location Coordinate job site access, service scheduling, and materials/equipment orders Maintain dispatch board and service follow-up schedules Verify and process technician documentation for billing Perform billing and follow-up on outstanding collections Maintain maintenance agreements and service logs Process departmental timesheets and assist with payroll coordination Replenish office supplies and support general administrative tasks Assist with maintenance and installation scheduling as needed Education & Experience High school diploma or GED required Minimum 1 year of experience dispatching field technicians (HVAC preferred) Skills & Qualifications Strong customer service and communication skills Proficient in Microsoft Office (Word, Excel, Outlook) Ability to multi-task and stay organized in a fast-paced environment Problem-solving mindset and attention to detail Working Conditions & Requirements Must comply with OSHA, state, and federal regulations Reasonable accommodations may be made for individuals with disabilities Random drug and alcohol testing may be required Must be able to work in a dog-friendly office environment General Commitment for All Employees Comply with company values, policies, and safety protocols Maintain confidentiality and professionalism Fulfill work schedule requirements and adapt to other assigned tasks as needed Equal Opportunity Statement We are an Equal Opportunity Employer of protected veterans and individuals with disabilities.
