Your Role: Manage the complete lifecycle of programs, from contract turnover to final billing, utilizing our advanced business program management systems. Negotiate and coordinate all program components including hotels, congress requirements, DMC, air travel, and third-party contracts. Develop comprehensive program itineraries and working agendas to ensure flawless execution. Conduct debriefs and site inspections as needed to guarantee program success. Maintain proactive communication with clients, stakeholders, and suppliers; lead regular status meetings to align on program goals. Collaborate with IT, creative teams, and support departments to exceed client expectations. Effectively manage program budgets, track expenses, and monitor financial performance, including reviewing and auditing billing accuracy. Keep accurate records and data inputs in accordance with policy. Handle complex meetings and events while upholding confidentiality. Manage VIP special projects and logistics as required. Build and maintain strong relationships with clients and suppliers. Stay informed on the latest industry standards and technological solutions. Demonstrate leadership qualities and cultivate a positive team atmosphere. Willingness to travel domestically and internationally for site inspections and program operations may be required. What We Seek: Essential: At least 3 years of experience in meeting planning, including 3 years in the pharmaceutical sector. Experience with pharmaceutical congresses is mandatory. A 4-year degree is preferred; CMP designation is a plus. Excellent communication skills, with the ability to engage professionally across various management levels and clients. Professional appearance and demeanor. Strong organizational skills with a proven ability to meet deadlines. Flexible and adaptable to change. Proficient in technology and software solutions, with strong analytical skills. Advanced experience in Microsoft Word and Excel is required. Experience with meeting industry technology (CVENT) is essential. Ability to travel using multiple modes of transportation, with potential travel of up to 40%. Location The role is based in the United States. The national base salary range for this position is between $60,200.00 and $111,800.00. This range reflects the base salary expectations for the role, influenced by various factors such as the complexity of the position, the successful candidate's experience, and the work location. This position is eligible for a discretionary annual bonus based on individual and/or company performance. Why Amex GBT?
