Position Description Founded in 1984, BEAR Construction Company is a family-owned General Contracting and Construction Management firm located in Chicagoland, completing work throughout Illinois and Wisconsin. In addition to our 100+ full-time professionals, we also employ a large team of union carpenters, laborers and decorators. Position Overview The Proposal Coordinator, reporting to the Director of Marketing, will play a key role in supporting the successful pursuit of projects by coordinating proposals, assisting with client and company events, and contributing to marketing and communications initiatives. We are seeking a proactive self-starter with strong attention to detail, excellent planning and follow-through, and a sense of accountability. The ideal candidate can manage their time effectively, adapt to changing priorities, and bring drive, flexibility, and a good sense of humor to a fast-paced, collaborative environment. Duties & Responsibilities:Work with project management and senior leadership to coordinate and produce marketing collateral for all stages of project opportunities, including qualifications, RFQs/RFPs, interviews, and follow-up materials. Coordinate and produce marketing collateral such as resumes, project sheets, project lists, flyers, brochures, and other boilerplate content, ensuring information is current and formatted in line with Corporate Brand Standards. Print, bind, and package materials as needed. Perform resizing, cropping, and basic editing of photos for use in collateral; modify and/or create graphics and charts as required. Assist with maintaining the integrity of marketing databases, conduct audits as needed, and track project pursuits and other marketing-related activities. Collaborate with internal stakeholders (e.g., Business Development, Human Resources, IT, Training, Safety) to create high-quality custom packages. Provide guidance to employees and stakeholders on the proper use of marketing tools and systems. Establish and maintain effective, collaborative working relationships with marketing staff, team leaders, and other personnel. Assist with special projects and events, including employee and client communications. Position Requirements Qualifications:Excellent written and verbal communication skills, with a proven ability to proofread and edit marketing materials. Proficient in Adobe InDesign and Microsoft Office (Word, Excel, PowerPoint); experience with Photoshop and Illustrator is a plus. Familiarity with CRM systems is a plus. Ability to thrive in a fast-paced environment and manage multiple priorities effectively. Conscientious, flexible, and a strong team player with a solid work ethic. Skilled at balancing diplomacy and persistence when interacting with internal and external stakeholders. Strong time management and prioritization abilities. Willingness to go the extra mile to meet deadlines and support team needs.
