The Isamu Noguchi Foundation and Garden Museum is seeking an Executive Assistant and Board Liaison, to serve as a trusted partner to the Director and play a key role in ensuring the effective operation of the Director’s office and Board of Trustees activities. This position requires sound judgment, discretion, strong organizational skills, and the ability to anticipate needs and follow through with care and precision. The role supports the Director’s daily priorities, coordinates Board communications and meetings, and helps strengthen administrative systems across departments. Because this position regularly handles sensitive information related to governance, labor relations, budgeting, and donor engagement, maintaining strict confidentiality is essential. Essential Duties and Responsibilities Director’s Office Manage the Director’s calendar, including vetting and prioritizing requests; scheduling and coordinating meetings with board members, donors, artists, museum professionals, press and elected officials. Ensure seamless calendar coordination across multiple platforms so the Director has consistent and reliable access to schedule details across devices. Proactively identify and address potential scheduling conflicts before they arise. Apply advanced calendar management practices, including time blocking, buffer allocation, and priority driven scheduling. Respond to ad hoc research requests, including background research and preparation on individuals, organizations, and related topics. Partner closely with the Director, and Deputy Director to align priorities, coordinate meeting sequencing, and maintain a balanced and strategic schedule. Draft responses to routine inquiries on the Director’s behalf, incorporating the Director’s guidance and intent. Prepare and draft correspondence for the Director, including thank you notes, stewardship communications, and organizational updates. Develop initial drafts of speeches, remarks, and other written materials requested by the Director, and coordinate the review and approval process to ensure timely completion. Board of Trustees Serve as a liaison to the Board of Trustees by scheduling and coordinating all aspects of Board of Trustees and committee meetings and sending general weekly updates. Assist in preparing department reports and other materials for quarterly Board meetings. Attend all quarterly Board meetings and composes meeting minutes. Maintain records of Board minutes, memos, and other correspondence. Compose meeting agendas in collaboration with the Director, Deputy Director and Board Chair. Maintain strict confidentiality and exercise independent discretion in matters involving the Board of Trustees and highly confidential information and discussions. Administrative Responsibilities Serve as a steward of the Director’s time, exercising sound judgment in determining which meeting requests to accept, defer, decline, or delegate in alignment with the Director’s preferences and guidance. Collaborate with the Manager of Building Operations and Staff Accountant to help centralize, coordinate, and track cross-functional purchasing, including office supplies, pantry items, food orders, and facilities-related purchases. Prepare meeting materials, including agendas, briefing documents, presentations, notes, and post meeting minutes, summaries and action items follow up as necessary. Plan and coordinate lunches, dinners, and other events with high level donors, artists, press, elected officials, and board members, ensuring a seamless and positive experience by anticipating logistical needs and aligning with the Director’s and Board leadership’s preferences. Partner with Human Resources, and the Operations Team to support the onboarding and offboarding of new staff. Development Support On behalf of the Director, draft correspondence and communicates with donors and prospects to keep them engaged and updated on the Museum’s activities. Provide support to the Deputy Director and/or Director of Individual Giving and Events at various cultivation and fundraising events on- and off-site, by sending out invitations and related correspondence, and assisting with event setup, breakdown and other logistics. Conduct research on prospective donors. Provide general assistance to the Deputy Director and the development department operations and special projects as assigned. Required Qualifications Minimum of 5 to 7 years of experience providing direct support to C suite executives, including managing complex scheduling, logistics, and office operations. Advanced proficiency in Microsoft Excel, PowerPoint, and Word, and Google Calendar, Docs, and Sheets. Demonstrated proficiency in CRM maintenance to track engagements with donors. Exceptional attention to detail, with a demonstrated commitment to improving systems, workflows, and operational efficiency. Resilient, proactive, and solutions oriented, with the ability to remain composed and effective in a fast paced, high demand environment. Ability to manage upward effectively, balance competing priorities, and exercise sound judgment. Strong personal accountability and work ethic, with a high degree of reliability and ability to maintain confidentiality. Excellent written and verbal communication skills, with the ability to communicate clearly and professionally across a range of stakeholders. Professional, approachable demeanor with a strong commitment to providing a high level of service to internal and external constituents. Demonstrated interest in and enthusiasm for the Museum’s mission, programs, and public engagement. The position may require working special events in the evenings and or weekends, potentially off-site on occasion. The Executive Assistant and Board Liaison is a full-time, in-person position and is located in The Noguchi Museum in Long Island City, Queens. The hours are 5 days a week, 9 am–5 pm, Monday–Friday. The position requires occasional work outside regular hours. Work is performed in an office environment; prolonged periods of sitting, use of computers and standard office equipment are required to accomplish work objectives. This position is represented by the Technical, Office & Professional Union, Local 2110, UAW, AFL-CIO. Compensation The salary range for this position is $75,000–80,000 per year.
