Salary: $23.31 - $33.09 Hourly Location : City of St. Cloud, FL Job Type: FULL-TIME Department: PARKS AND RECREATION Division: RECREATION Opening Date: 02/24/2026 Closing Date: 3/10/2026 5:00 PM Eastern FLSA: Non-Exempt Description We're excited to share an upcoming opportunity to join the City's Parks and Recreation Department as our next Office Manager, with a target start date of April 20, 2026. This full-time position works Monday through Friday, 8:00 a.m. to 5:00 p.m. This is a key supervisory and technical support role within the department. The Office Manager oversees administrative and customer service staff, ensures the efficient and professional operation of the front desk, and provides executive-level administrative support to the Director. The position directs a wide range of administrative, clerical, and technical functions, including oversight of sales, rental rates, policies and procedures, payroll, schedules, contracts, fees, reports, and daily front-desk operations. Duties and Responsibilities The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary. Supervises, directs, and evaluates assigned staff, processing employee concerns and problems, directing work, counseling, disciplining, and completing employee performance appraisals. Coordinates, assigns and reviews work and establishes work schedules; maintains standards; monitors status of work in progress; inspects completed work assignments; answers questions; gives advice and direction as needed. Ensures quality customer service by enforcing quality customer service standards and recommending system improvements. Resolves employee and customer complaints in a courteous, professional and mutually beneficial manner. Maintains department schedules for administrative needs for the department through the supervision and direction of assigned subordinate staff. Also maintains department schedules for training, meetings, vacations, and calendars. Responsible for the supervision and accurate, timely completion and submission of all payroll functions for the department. Supervises the collection and accounting of fees for all departmental programs, sales, rentals, and facility or equipment usage. Maintains documentation of policies and procedures for compliance of staff. Also tracks training and compliance of staff with regards to class instruction and programmed events through the maintenance of records and filing of reports. Ensures clients are properly notified of potential scheduling conflicts and provides adequate advice and solutions regarding alternative actions. Ensures all staff are properly trained and informed on current information for potential clients regarding facilities, rental fees, and services provided throughout the department. Creates documents utilizing Microsoft Excel, Word, PowerPoint, and other software applications. Provides reports such as but not limited to memoranda, letters, departmental procedures, agendas, resolutions, ordinances and other documents as required by the department head and other personnel, or in response to established and reoccurring procedures. Reviews requisitions for all office supplies and purchases of minor equipment. Gathers, prepares and enters information of departmental budget for data entry including all related schedules as requested. Performs additional duties as required. The incumbent may be required to work emergency callouts and mandatory overtime; may require some evening and weekend hours. Minimum Education and Experience RequirementsRequires an Associate's Degree in Office Administration, Public Administration or related field supplemented by four (4) years of progressively responsible supervisory experience in office management or as an executive secretary; or equivalent combination of education, training, and experience which provides the required knowledge, skills, and abilities. Proficient in the use of computer software, specifically Microsoft Word, Excel, and PowerPoint is required. Must have operational knowledge of general office equipment. Experience in the use of programs such as Rec-Trac, AS400, and similar programs are preferred. Must possess and maintain a valid state Driver's License with an acceptable driving history. Ability to deal with problems involving several concrete variables in standardized situations. Customer Service: Listens and responds effectively to customer questions; resolves customer problems to the customer's satisfaction; respects all internal and external customers; uses a team approach when dealing with customers; commits to exceeding customer expectations. Technical: Skill in supervising multiple employees while working within an office team is preferred.
