Conditions of employment adjusted for part time employees or individuals who are hired for less than an entire school year. GENERAL SUMMARY: Under the supervision of the Director of Food Service, maintenance of sound financial records and compliance with reporting requirements to the SC Department of Education. Responsible for compliance with all district, state and federal regulations and guidelines. Processes all free and reduced lunch applications, handles confidential files and documents, establishes and maintains files and records and answers incoming calls, schedules appointments, etc. ESSENTIAL FUNCTIONS: Supports and upholds the mission, vision and strategic goals of Lexington County School District One towards increased outcomes for students. Interacts, communicates and collaborates with all stakeholders effectively. Establishes a safe, supportive, positive and productive working and learning environment. Operates general office and technology equipment needed for daily activities. Maintains confidentiality regarding all employee and student information. Participates in all professional meetings and training sessions as required. Requests and maintains materials needed for daily responsibilities and essential functions; provides for safe storage and proper use of all tools, equipment and materials. Manages daily financial operations, including preparing bank deposits, troubleshooting credit card machine issues, and overseeing credit and collection procedures. Reconciles cashier daily balancing issues and serves as the primary point of contact for all cashier-related financial inquiries. Processes financial documents including Payment for Services Rendered (PSRs), substitute invoices, check requests, and travel reimbursements. Generates and issues invoices for external programs and manages monthly billing for Kindergarten and After School snack programs. Maintains student account integrity by processing account transfers, issuing refunds, and managing senior account close-outs. Serves as the primary support resource for parent questions regarding online payments and general account balances. Administers the Linq system by assigning user rights to Cashiers and Managers, and performing the necessary close-out and opening procedures for the school year in the system portals Understands the USDA Guidelines from the USDA in regards to School Food Nutrition, including, but not limited to the National School Breakfast Program, the National School Lunch Program, After School Snack Program, Community Eligibility Program and Summer Feeding Programs. Updates and publishes Public Media Release for free and reduced-price meals. Reviews and understands the latest Income Guidelines from the USDA in regards to Eligibility Requirements including SNAP, TANF and Medicaid and Other Source Categorically Eligible. Processes meal applications and determines student eligibility in strict accordance with state and federal guidelines. Manages the Direct Certification process and handles specific inquiries regarding student statuses. Oversees the verification process for free & reduced applications and maintains accurate free & reduced percentage information. Updates and maintains student demographic and meal status information to ensure data accuracy. Prepares and uploads all necessary documentation for the yearly SCAPS audit and the Administrative Review (AR), ensuring all data is keyed correctly for the State Department. Responds to all requests from the State Department and handles Level Data reporting requirements. Performs and reconciles End of Month (EOM) inventories and serves as a backup support for procurement activities. Assists the Director of Food Service and Nutrition with compiling the annual budget. Compiles and submits comprehensive statistical and financial reports for the Director, including participation reports and the annual SLP4 Report to the State Department. Works closely with the State Department of Education and various state agencies to compile and report data to include all Training Requirements for Food Service Staff. Provides assistance in financial areas which includes such duties as procuring, entering, processing and/or maintaining purchase orders and related information, and maintaining a complete and systematic set of records of all financial transactions as assigned. Provides back-up to other departmental staff when needed. Effectively uses personal computing devices and software applications for the management of pertinent information and communication. Performs such tasks and assumes such other responsibilities as assigned by the director of food service and nutrition. Performs other job-related duties as assigned SUPERVISORY RESPONSIBILITY: Budgetary responsibility as assigned. No supervisory responsibilities. OTHER SKILLS and ABILITIES: Ability to perform duties with awareness of all district requirements and Lexington County School District One Board policies. Must be able to access reliable transportation. Knowledge of the policies, procedures, and activities of the school district which pertain to the specific duties and responsibilities of the position. Knowledge of school policies, procedures, and operations. Ability to demonstrate proper maintenance, safe operation, and utilization of equipment, materials, and supplies used in daily activities. Ability to interact and communicate in an effective and professional manner with supervisors, co-workers, teachers, students, and the general public. Personal computer experience required. Strong knowledge of word processing, e-mail, spreadsheets, electronic file management, the internet, and reporting and presentation software. Ability to establish and maintain effective working relationships with students, staff and the school community. Ability to speak clearly and concisely both in oral and written communication. Ability to apply knowledge and current research and theory. Ability to organize and implement a flexible work schedule in order to meet reporting deadlines. Ability to self-monitor and manage multiple tasks while working individually and with members of a group. Ability to submit all requested reports and documentation in a timely manner and in accordance with scheduled deadlines. Some extended hours and multiple demands from several people are frequently required of the employee. Computer literacy required.
