This position assists the Family Services Division at the Department of Social Services, which includes Adult and Children's Services. This role performs a range of administrative duties and provides support to the Program Administrator, Program Managers, supervisors, and social workers within the division. Primary duties include updating information and entering data into a variety of state systems, requesting certified medical records and other documents necessary for court, acting as liaison between division staff and agency legal team, acting as backup for other administrative support functions within the division, and running a variety of background checks and monthly reports. This position is also responsible for assisting with client records and assisting with other projects as needed. Essential FunctionsRequests certified medical records and certified criminal records for the preparation of court; uploads documents into SharePoint as needed for agency legal team. Assists supervisors and social workers in tracking and obtaining other needed documents for court. Performs administrative duties and assists with financial processes for Family Services staff, including completing overnight/travel requisitions, entering purchase requisitions into the county financial system, completing payment requests for invoices and trust fund accounts as needed; Provides a multitude of various supports to staff as needed including but not limited to preparing items to be mailed, making contacts with various parties, scanning and tasking documents, assisting with mailings, performing Lexis Nexis searches, tracking down authorizations from providers, and assisting with record review or clean-up as needed; Updates and enters information into the child welfare system (CWIS/PATH NC) including placement information, case plans, medical and educational plans, etc. Assists with the planning and preparation of community awareness events and projects such as Child Abuse Prevention Month, Elder Abuse Awareness Month, National Adoption Day, and Christmas programs; Collaborates and assists agency fiscal staff and county IT with the tracking and inventory of county issued equipment for the division such as cell phones, headsets, laptops, charging cords, etc. Assists with maintaining current information in the foster care database, contacing private providers to obtain needed authorizations, entering resources and payment information into CWIS, and preparing the monthly foster care payment report as needed; Assists with setting up new staff and troubleshooting access issues for databases such as day sheets, iiReception, OAASIS, PATH NC, etc. Tracks placement and payment issues, brings them to the appropriate parties' attention, troubleshoots, and assists with problem-solving; Assists with the entry of data such as 5026's and 5027's into the appropriate state systems as needed; Assists with monthly reports from various state systems for both child welfare and adult services; Participates in preparing for program monitoring, financial audits, and other quality assurance functions as needed; Assists with managing the Family Services resource room, oversees donations from the community, and assists with other projects as needed such as annual holiday programs; Acts as a Notary Public and accompanies staff into the field as needed; Assists with the management of agency fleet cars including maintenance, repairs, and monthly reports; Participates in shelter operations or other weather-related incidents as needed; Performs other duties as assigned. Minimum Qualifications High school diploma or GED and at least two years of office assistant/secretarial experience; or an equivalent combination of training and experience. Familiarity with Social Services programs and software is preferred but not required. Ability to speak Spanish is preferred but not required. Physical Requirements This work requires the frequent exertion of up to 25 pounds of force and occasional exertion of up to 50 pounds of force; work regularly requires sitting, speaking, hearing, use of hands and fingers, handling, feeling, reaching with hand and arms and repetitive motions, frequently requires walking and occasionally requires standing, stooping, kneeling, crouching, crawling, pushing, pulling and lifting; work has standard vision requirements; work requires vocal communication to express or exchange ideas by means of spoken word; work requires hearing to perceive information at normal spoken levels; work requires preparing and analyzing written or computer data, using measuring devices, operating motor vehicles or equipment and observing general surroundings and activities; work occasionally requires exposure to outdoor weather conditions; work is generally in a moderately noisy location (e.g. business office.) Occasional fieldwork is required for fleet maintenance and notary public duties. Special Requirements Must possess a valid North Carolina driver's license. Must possess or obtain a North Carolina Notary Public.
