About the Role We are seeking a highly organized, proactive Executive Assistant to serve as a key operator across Sales, Operations, Manufacturing, and Marketing. This role ensures seamless Communication across departments, supports the full sales cycle, and helps maintain exceptional service for every account. The ideal candidate has a background in food service, packaging, logistics, or hospitality, and thrives in a fast-paced, growth-oriented environment. This is a hands-on, detail-driven position requiring someone who can manage multiple priorities, communicate clearly, solve problems quickly, and operate with a strong sense of ownership. The The role also includes executive assistant responsibilities and participation in marketing execution. Key Responsibilities Executive Assistant Tasks • Manage calendars, scheduling, and occasional travel arrangements. • Assist with meeting preparation, follow-up tasks, and administrative organization. • Handle special projects on behalf of the executive team. Sales Support • Support the Founders through the entire sales process-from initial outreach through onboarding and ongoing account success. • Act as the connective point between Sales, Operations, and Manufacturing to ensure smooth and timely execution. • Manage customer communication, follow-ups, timelines, and expectations. • Prepare quotes, proposals, order forms, and project tracking documents. • Maintain CRM accuracy and ensure internal teams are aligned on each account. • Occasional travel with executives to site/client visits and events. Marketing & Execution • Our Marketing Manager is remote. With that we need someone on the Miami team to support marketing initiatives including content creation, social media support, trade show prep, and collateral creation. • Assist in brand consistency across customer touchpoints. Required Skills & Experience • Experience in food service, packaging, logistics, or hospitality industries (required). • Strong organizational, time-management, and multitasking skills. • Excellent communication and interpersonal abilities. • Self-starter with the ability to work independently and take initiative. • Highly proficient with Excel and Google Sheets (pivot tables, v-lookups, formulas). • Comfortable learning new software tools and managing digital workflows. • Strong attention to detail and ability to work well with numbers. • Problem-solving mindset and ability to thrive in a fast-paced environment. Nice-to-Have Qualifications • Experience in manufacturing coordination or supply chain operations. • Familiarity with CRM systems (HubSpot, Salesforce, or similar). • Basic marketing or creative tools experience (Canva, Google Workspace, etc.).
