Position Description JOB TITLE: Advancement Coordinator DEPARTMENT: Advancement REPORTS TO: Director of Advancement STATUS: Non-Exempt, 12-Month, Administrative Calendar HOURS: Full Time (40) LOCATION: Calvary Christian Academy, Fort Lauderdale Calvary Christian Academy (CCA), a ministry of Calvary Chapel, exists to make disciples of Jesus Christ through a biblical school environment that prepares students to glorify God spiritually, academically, and socially. Purpose Statement: The Advancement Coordinator plays a vital, multifaceted role in furthering the mission of Calvary Christian Academy by serving in a dual capacity: as an administrative assistant to the Director of Advancement and as a key contributor to sponsorship, fundraising, and event execution efforts. This position is equally responsible for providing high-level administrative and organizational support to the Director of Advancement and for helping secure, steward, and renew financial resources through donor engagement, business sponsorships, and Advancement events-particularly during major initiatives such as capital campaigns and the annual Auction. Through both administrative excellence and relational engagement, the Advancement Coordinator provides essential logistical, operational, and relational support to ensure the success of Advancement goals. Scope: This position requires a highly organized, detail-oriented, and self-motivated individual who can take vision and direction and translate it into action, systems, and execution. The Advancement Coordinator provides high-level administrative support to the Director of Advancement and coordinates a wide range of projects, donor communications, sponsorships, and events. The role demands professionalism, discretion, flexibility, strong interpersonal skills, fundraising and project coordination experience, and the ability to work effectively with staff, donors, sponsors, and community partners. Sensitivity to confidential matters is essential. Specific Responsibilities: Administrative & Director Support Serve as an administrative assistant to the Director of Advancement, providing daily administrative, organizational, and logistical support Manage calendars, scheduling, communications, and meeting coordination Vet calls, emails, and requests on behalf of the Director of Advancement Prepare reports, presentations, proposals, and correspondence Process and manage reports, invoices, and documentation Maintain strict confidentiality and discretion regarding sensitive information Fundraising, Donor & Sponsor Engagement Assist in securing, stewarding, and renewing business sponsorships Strategically secure funds through corporate and business partnerships Create sponsorship proposals, pitch opportunities, track commitments, and manage follow-up Make outbound calls and maintain regular communication with donors and sponsors Cultivate and maintain strong relationships with donors, sponsors, and community partners Serve as a representative of Calvary Christian Academy in donor and sponsor interactions Utilize Raiser's Edge NXT to track sponsorships and select donor interactions Events & Capital Campaign Support Plan, coordinate, and execute Advancement events, including the annual Auction and capital campaign events Lead logistics for Vision Gatherings, donor cultivation events, and Advancement initiatives Make outbound phone calls to donors, sponsors, and prospective supporters to personally invite them to Advancement events, Vision Gatherings, donor cultivation opportunities, and capital campaign events; confirm attendance; answer questions; and conduct appropriate follow-up on behalf of the Director of Advancement Help coordinate the CCA Auction, including logistics such as supplies, décor, vendor coordination, and food/menu collaboration, working closely with the CCA Auction committee Handle all operational details for events, including reservations, materials, schedules, budget, and on-site execution Collaborate with internal departments and committees to ensure successful events Departmental Operations Provide general oversight and coordination of day-to-day Advancement operations Maintain inventory of Advancement materials and collateral Manage collateral items included in sponsorship packages Collaborate with the Communications team on sponsorships, campaigns, and Advancement events Support Advancement committees and initiatives as needed Perform other duties as assigned by the Director of Advancement Qualifications/Skills/Gifts: Strong personal commitment to Jesus Christ and the Christian faith Strong commitment to the Philosophy, Statement of Faith, and Mission of Calvary Chapel and Calvary Christian Academy, as well as the Leadership Covenant Spiritually mature with demonstrated gifts of administration, discernment, leadership, service, exhortation, and hospitality Demonstrates sound spiritual leadership as outlined in I Timothy 3; Titus 2 & 3, with gifts of the Holy Spirit in daily operation Exceptional discretion and confidentiality Strong written, verbal, and interpersonal communication skills Experience or demonstrated interest in fundraising, donor relations, sales, or sponsorship development preferred Ability to interact confidently, professionally, and graciously with staff, donors, sponsors, and the broader community Highly detail-oriented with strong initiative and ability to work independently Advanced proficiency in Google Suite and Microsoft Office (Word, Excel, PowerPoint) Strong organizational, planning, and time-management skills Ability to manage multiple projects simultaneously and see them through to completion Ability to navigate complex problems and create effective solutions Technologically proficient and adaptable Will adhere to all aspects of the Employee Handbook, including Expectations and Work Standards Flexible schedule with exceptional time management Occasionally required to lift, push, pull, and/or move up to 25 pounds Work Schedule: This is a full-time position (40 hours per week). Evening or weekend work is required throughout the year to support Advancement events, donor engagement, special projects, or emergency needs. As Advancement work is relational in nature, responsiveness to donor and sponsor communications outside of standard hours is expected, so being able to answer an email or perform light work duties in the evenings is a must.
