Position Description Advertised Job Summary The Office of the Dean in the School of Medicine Greenville is seeking to hire an Administrative Coordinator to join our team. Reporting to the Executive Assistant to the Office of the Dean under limited supervision, the Administrative Coordinator monitors, coordinates and/or performs diverse administrative and support activities for Associate Dean's across the Office of Medical Education, Faculty Affairs and Development, and Institutional Data Evaluation Accreditation. The Administrative Coordinator performs activities associated with day-to-day operations, meeting management, and strategic initiatives led by each Associate Dean. Job Related Minimum Required Education and Experience Requires a bachelor's degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience. Required Certification, Licensure/Other CredentialsPreferred QualificationsKnowledge/Skills/Abilities Must be detail oriented, possess excellent verbal and written communication skills, and ability to maintain confidentiality all in a professional manner. Job Duties Job Duty Provides support and coordination for the Associate Dean for Medical Education. Provides administrative support for designated operational committees led by the Associate Dean. Schedules and coordinates appointments and/or travel for leader and visitors, coordinates catering orders for business meetings, submits payments for processing. Drafts written documentation and correspondence for the office, screens and evaluates incoming and outgoing correspondence, and prepares responses as appropriate. Prepares meeting agendas, presentations, and distributes meeting minutes in a timely fashion for meetings led by Associate Dean. Provides office support handling administrative inquiries as appropriate such as P-Card transactions, supply orders, reimbursements for the Associate Dean. Organizes and tracks call for materials, updates data to maintain departmental records and databases for LCME and ACCME accreditation. Maintains confidentiality of records and information. Keeps key stakeholders informed of deadlines and adjustments. Essential Function Yes Percentage of Time 30 Job Duty Provides support and coordination for the Associate Dean for Faculty Affairs and Development. Provides administrative support for designated operational committees led by the Associate Dean. Schedules and coordinates appointments and/or travel for leader and visiting faculty, coordinates catering orders for business meetings, submits payments for processing. Drafts written documentation and correspondence for the office, screens and evaluates incoming and outgoing correspondence, and prepares responses as appropriate.
