The Beachwood City School District has an opening for an Administrative Assistant to Pupil Services.Full Time (Year round)8 work hours per dayStart Date: June 8, 2026Apply By: March 15, 2026BEACHWOOD BOARD OF EDUCATIONJOB DESCRIPTIONPosition: Administrative Assistant to Pupil Services Reports to: Director of Pupil ServicesEmployment Status: Confidential Staff Position (non-union) Position Summary Assist Director of Pupil Services Coordinate all clerical duties in Pupil Service department Required Education, Experience & Qualifications High School education or equivalent Excellent computer skills with knowledge of various computer applications appropriate to duties Meet all health requirements mandated by law Experience in secretarial/clerical work preferred Satisfactory completion of the BCI and FBI background check Possession of a valid motor vehicle license Job Responsibilities & Duties Assist the Director of Pupil Services with the coordination of activities, reports and agreements related to pupil services programming including but not limited to Manage the Director's calendar and scheduled appointments, correspondences, required board resolutions, contracts for service, purchase orders, etc. Maintain testing records and notification of staff for 3-year evaluations, annual IEP's, 504s, and referrals for NonPublic student evaluations. Prepare annual tuition agreements for districts participating in the D/HH consortium program; collaborate with treasurer's office on tuition billing to consortium schools (CEVEC, Excel TECC) Coordinate transportation arrangements for out-of-district placement of students with the transportation department Collect and enter Special Education data into EMIS of required special education to meet ODE child count submission deadlines Maintain records for state audits and annual reports, including the catastrophic costs reporting. extended school year services for students, staff and facility scheduling Maintain a complete and accurate confidential file for every child in district and out-of-district that receive special education services Prepare purchase requisitions/order equipment and other supplies Participate in professional development activities; stay abreast of new developments that affect job responsibilities Provide dependable, competent service that is thorough, accurate and effective Act as a unifying source, maintain excellent relations with co-workers and supervisors Receive, process, facilitate, and disseminate student/instructional program information between the school office, school district, public and community agencies, parents, staff, and students, as needed Maintain the confidentiality of sensitive information Provide training, guidance and assistance to other school site personnel; serve as a resource regarding applicable rules, regulations, policies and procedures Utilize various technologies, including email, student information system, and calendar Perform other duties as assigned Required Knowledge, Skills, and Abilities Ability to work effectively with others as part of a team Ability to produce accurate and quality work with little supervision and high motivation to meet deadlines Knowledge of correct English usage, grammar, punctuation, vocabulary, and spelling Strong organizational and multitasking skills required Knowledge of Federal and State special education compliance requirements to effectively respond to routine questions and requests from staff members and the community Knowledge of effective office principles, procedures, and practices including indexing, filing systems and maintenance, telephone techniques, and report writing Knowledge of computer office software application programs utilized for communication, accounting, word-processing Ability to quickly identify problem areas or situations, isolate problem causes and take appropriate action to resolve problems identified Ability to diffuse volatile situations with tact and diplomacy and have the knowledge of when to respond to a request directly or refer to a District administrator Ability to perform a variety of administrative secretarial/clerical support work with speed and accuracy Ability to type and prepare correspondence, memorandums, forms, and concise reports Personal & Professional Conduct Requirements The employee shall exercise honesty and integrity in their relationship with the Board of Education and the administration. The employee shall follow any applicable licensure code of conduct. The employee shall immediately report known and suspected misconduct of their co-workers or violations of Board policy and procedure by their co-workers. The employee shall actively support the efforts of the Board of Education, Superintendent, and Treasurer/CFO in the pursuit of the District's mission, goals, activities, and interests. The employee shall not disrupt District operations or undermine the District's mission, goals, activities, and interests. The employee shall interact in a positive manner with staff, students and the public and promote a positive image of the District through exemplary personal and professional conduct by: Communicating clearly and effectively both orally and in writing, with tact, diplomacy and excellent grammar; Demonstrating intercultural awareness and cultural competency; Using effective listening skills; and Remaining free of any alcohol or controlled substance abuse and the influence or aftereffects thereof in the workplace or at school events and activities. Physical Demands Ability to hear and speak, read and write, sit and/or stand for extended periods of time, use hands to operate a computer and other equipment, kneel, bend at the waist, reach overhead - above the shoulders and horizontally, to retrieve and store files and supplies, ability to lift, carry, push and pull items up to a maximum of fifty (50) pounds.
