ID#0926A - Assists in the Staff Assistant and Program Manager in the implementation, coordination, and continuing operations of the EVYFC Outpatient Program and the Youth Contact School-Based Program. ESSENTIAL DUTIES AND RESPONSIBILITIES: Answer incoming calls to the clinic and direct the calls appropriately. Greet all clients arriving for appointments and promptly notify clinicians and/or counselors. Ensure parking validation for all clients at the end of their appointments. Obtain initial information for all prospective clients and verifies insurance. Schedules intake appointments and creates/completes SRL on Exym. Completes Notice of Actions (NOAs) for any intake appointments outside the DMH Access to Care Guidelines. Maintains master list of current and discharged clients. Troubleshoots lapses in Medi-cal and follows through with both the clinician and the MIS department to ensure timely billing. Provide clients with attendance letters for school. Provides appointment reminder calls for intake and MD appointments. Represents the site at both the Cultural Committee and Safety Committee. Sets up, maintains and modifies, as needed, office systems and procedures. Oversees distribution of incoming and outgoing mail. Additional duties as assigned by the Program Manager. The ideal candidate must have a High School Diploma or equivalent. Associate's degree or two years in college highly preferred. Three years clerical experience, two years of which must be in a highly specialized or supervisory capacity, preferably in a mental health setting. 50-55wpm minimum; two years college preferred. Must pass Department of Justice Fingerprint Clearance. Valid California Driver's License is required. Must meet guidelines of agency's driving criteria (i.e. Proof of liability insurance, minimal moving violations, driving record free of DUI's or reckless driving in the last 3 years, etc.) and maintain the criteria as per company policy at all times. ADDITIONAL REQUIREMENTS: Must act in accordance with all Health Insurance Portability and Accountability Act (HIPAA) of 1996 and related state law confidentiality requirements. Complete the Center's HIPAA training, pass the HIPAA test, and receive the Certification of Compliance. Bilingual English/Spanish Required. Interacting with other employees at work is an essential function of the job. Computer skills. Able to work effectively with a range of clients and staff from diverse ethnic and cultural backgrounds. Is respectful and sensitive to each family's cultural and individual needs and customs as appropriate. ENVIRONMENT/WORKING CONDITIONS: The job location is in an office environment. The working environment is free from any recognized hazards. The Mental Health Counselor may be exposed to different environments (i.e., clients' homes), while conducting field visits.
