Healthcare Executive AssistantDepartment: Administration / Executive Office Reports To: Practice AdministratorJob SummaryThe Healthcare Executive Assistant provides high-level administrative, operational, and strategic support to senior healthcare leadership. This role requires exceptional organizational skills, discretion, and an understanding of healthcare operations, compliance, and clinical environments. The Executive Assistant serves as a key liaison between executives, clinical teams, staff, and external partners, ensuring efficient day-to-day operations and effective communication.Key ResponsibilitiesExecutive SupportManage complex calendars, scheduling meetings across clinical and administrative teamsPrepare agendas, presentations, reports, and briefing materialsDraft, review, and manage executive correspondenceServe as a trusted gatekeeper, prioritizing communications and requestsHealthcare Operations & CoordinationLiaise with physicians, clinical leaders, department heads, and external stakeholdersSupport executive initiatives, committees, and board meetingsTrack action items, deadlines, and follow-ups related to strategic projectsAssist with regulatory, accreditation, or compliance documentation as neededConfidentiality & ComplianceHandle sensitive patient, personnel, and organizational information with strict confidentialityMaintain compliance with HIPAA and organizational privacy policiesEnsure accurate record-keeping and document managementAdministrative & Office ManagementOrganize and maintain electronic and physical filing systemsSupport special projects and organizational initiativesImprove workflows and administrative processes for efficiencyRequired QualificationsBachelor’s degree or equivalent experience3–5+ years of experience as an Executive Assistant, preferably in healthcare or a regulated environmentStrong knowledge of medical terminology and healthcare operations (preferred)Proficiency in Microsoft Office, Google Workspace, and scheduling toolsExcellent written and verbal communication skillsSkills & CompetenciesExceptional organizational and time-management skillsHigh level of professionalism, discretion, and emotional intelligenceAbility to manage competing priorities in a fast-paced environmentStrong attention to detail and problem-solving skillsAbility to work independently and anticipate executive needsPreferred QualificationsExperience supporting senior healthcare leadershipFamiliarity with EHR systems or healthcare compliance frameworksProject management experienceWork EnvironmentOffice, clinical, or hybrid healthcare settingMay require occasional extended hours to support executive needsCompensation PackageSalary range: $68,000 - $75,000Annual bonus potentialFlexible work schedule with potential for hybrid status after 90-Day Probationary PeriodCompetitive healthcare packageGenerous PTO Allowance and 6 Paid HolidaysEmployee discount
