Position Description Advertised Job Summary Are you a highly organized, people-focused professional who thrives in an academic environment? The Department of Mathematics in the McCausland College of Arts and Sciences is seeking an enthusiastic Undergraduate Program Coordinator to join our collaborative and dynamic staff team. Working closely with the Undergraduate Director and in collaboration with faculty committees, this role, manages a broad range of responsibilities that directly supports undergraduate studies. Responsibilities include: Coordinating key annual events such as the High School Math Contest and Undergraduate Awards Day Supporting textbook selection processes and placement testing coordination Managing undergraduate student communications; and preparing program materials This position plays an essential role in delivering a well-organized, student-centered undergraduate experience while serving as a primary contact for undergraduate inquiries. The Coordinator contributes to a team environment that values communication, professionalism, and shared responsibility, helping to ensure the smooth and effective administration of the undergraduate program. Job Related Minimum Required Education and Experience Requires a bachelor's degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience. Required Certification, Licensure/Other CredentialsPreferred QualificationsKnowledge/Skills/Abilities Knowledge of computers to include full knowledge of MS Office, prefer knowledge of USC systems such as Banner. Job Duties Job Duty Direct student/public to appropriate office or department for help or information. Serve as liaison between the department and administration, Dean's Office, regional campuses, general public, parents and alumni. Act as first contact with regional campuses. Schedule prospective student visits. Help to resolve student complaints, including directing to appropriate person/office as necessary. Supervise student workers. Essential Function Yes Percentage of Time 10 Job Duty Assists the Chair of the Textbook Committee and the department in managing logistics related to textbook decision-making processes. This includes check out/in of desk copies for faculty, visiting professors, and teaching assistants. Responsible for ordering textbooks for 100 and 200 level courses. Essential Function Yes Percentage of Time 10 Job Duty Assist and provide clerical support to Director of High School Math Contest for the annual High School Math Contest. Responsibilities include by are not limited to: materials preparation, contact high schools, design certificates, order trophies and medals, organize volunteers, reserve rooms, notify various campus offices of the event, and assist with follow up evaluations. Essential Function Yes Percentage of Time 10 Job Duty Assist and provide clerical support to Undergraduate Director for Awards/Scholarships for Undergraduate Awards Day. Ascertain eligible students and prepare relevant information for Undergraduate Advisory Council decision. Design and print certificates/letters. Attend awards. Invite donors to events. Research and provide Undergraduate Director with names for other University Awards/Scholarships when requested. Essential Function Yes Percentage of Time 10 Job Duty Oversee the design, maintenance, and updating of bulletin boards. Provide articles and design posters. Plan, write, edit and publish new messages on Blackboard, enroll and delete students, archive old announcements. Design forms as needed. Prepare materials for web page. Act as photographer for department. Essential Function Yes Percentage of Time 10 Job Duty Establish policies and procedures in conjunction with the Undergraduate Director for advisement. Provide basic advisement. Clear students for registration. Evaluate course override requests and work with the Assistant Chairman in giving course authorization. Maintain and update a database of all currently enrolled undergraduate students and alumni. Assist the Director of Undergraduate Studies in designing and updating the Undergraduate Program Booklet and in soliciting and collecting student surveys, as needed Essential Function Yes Percentage of Time 15 Job Duty Assist Math Placement Test Director with the coordination of the math placement test. Serve as primary/initial contact for individuals taking the Placement Test for Orientation by answering questions. Prepare analysis as needed. Interact with office of Testing & Orientation. Essential Function Yes Percentage of Time 15 Job Duty Assist Undergraduate Director and the Undergraduate Advisory Council with analysis and reports in regards to Program Assessment. Research, maintain records and prepare portfolios for assessment analysis. Participate in policy discussions. Collect schedules and coordinate meeting times. Carry out student/course research projects, organize information presentation, and prepare analysis as needed. Essential Function Yes Percentage of Time 5 Job Duty Serve as backup to the Graduate Program Administrator for mail distribution, maintaining mailboxes, making copies for faculty and graduate students, answering department main telephone line. Reserve room and conference space. Monitor supplies. Assist faculty and staff with conference, colloquium programs and other department events. Serve on department Hospitality Committee. Maintain department course outline file. Report maintenance repairs for copier machines. Put up signs for faculty when classes are cancelled and/or classrooms changed. Provide backup to Chair's Administrative Assistant and Business Manager as needed Essential Function Yes Percentage of Time 5 Job Duty Provide assistance and guidance to the department's faculty, staff and students to ensure compliance with federal, state, and University policies and procedures.
