Job Summary: The Safety Coordinator is responsible for supporting and enhancing the organization's safety, compliance, and fleet risk management programs. This role oversees day-to-day safety activities, ensures compliance with federal and state regulations (including DOT requirements), and promotes a strong safety culture across warehouse and transportation operations. The Safety Coordinator partners closely with operational leaders, drivers, and corporate safety teams to identify hazards, reduce risk, and drive continuous improvement in safety performance. Supervisory Responsibilities:None Duties/Responsibilities:Safety Program Management Proactively identify, assess, and mitigate workplace hazards to promote a safe working environment. Develop, draft, and distribute monthly safety toolbox talks to reinforce safety awareness and training. Assist in planning, coordinating, and executing the annual Safety Competition/Initiative to promote employee engagement. Participate as an active member of the Executive Safety Council, contributing insights and making recommendations. Conduct regular warehouse and route-truck safety audits to ensure adherence to safety standards and regulatory requirements. Prepare and distribute recurring safety reports; analyze data to identify trends and recommend corrective actions. Record and report workplace injuries and motor vehicle accidents in accordance with internal procedures and regulatory guidelines. Driver & Vehicle Safety Compliance Maintain and update Driver Qualification Files (DQFs) to ensure compliance with federal and company standards. Track, verify, and report driver safety certification compliance, including defensive driving, pallet jack, forklift, and other required training. Monitor Driver Vehicle Inspection Reports (DVIRs) and follow up on equipment defects to ensure timely resolution. Support fleet telematics oversight, including monitoring driver safety alerts and coaching opportunities. Track and report Driver Safety Scores, providing insights to leadership and recommending improvement strategies. Ensure company-wide compliance with DOT Hours of Service (HOS) regulations. Monitor DOT inspections and coordinate corrective actions for all violations. Manage and schedule quarterly DOT-mandated random drug screenings. Systems & Tools Administration Regularly utilize the following systems to manage and track safety performance, compliance, and reporting: Samsara (Telematics & Safety Alerts) Smartsheet (Compliance Tracking & Reporting) Safety Culture (Vehicle & Warehouse Inspections) Microsoft Office / SharePoint Internal Fleet & Learning Management Systems (LMS) Core Competencies:Safety & RiskFleet Management - Ability to Manages vehicle assets to ensure safe, efficient, and cost-effective operations, compliance with standards, and optimized performance. Qualifications: Required 2-5 years' experience in safety, compliance, fleet operations, or administrative support Strong attention to detail and ability to manage time-sensitive tasks Ability to follow written procedures and enforce deadlines Comfortable communicating with drivers, managers, and leadership Proficiency with spreadsheets and cloud-based systems Preferred DOT / FMCSA / OSHA compliance experience Familiarity with telematics systems (Samsara ideal) Experience supporting fleet or transportation operations Prior experience with Smartsheet Physical Requirements and Work Environment The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.
