Job Description / Essential Elements:Basic Function: Under general supervision, assume responsibility for student attendance record-keeping at a school site or within a department/office; assume responsibility for other specialized student record-keeping functions upon request; and relieve administrators of routine clerical and administrative detail in the school office setting. Distinguishing Characteristics: Advanced, complex specialized assistance in keeping student attendance records up to date including knowledge of appropriate software and state requirements. The position requires strong organizational and record-keeping skills so that school site operations run smoothly. Representative Duties: This position description is not intended to be an exhaustive list of all duties, knowledge or abilities associated with this classification, but is intended to accurately reflect the principal job elements. Perform advanced, complex specialized assistance in keeping student attendance records up-to-date; review all absence notes; issue admits/permits to leave; record all absences using attendance software; and follow-up on all uncleared absences with parent contact; prepare and monitor independent study contracts; initiate homework request and distribute to appropriate teachers. Prepare yearly attendance calendar and compile and verify all daily and monthly reports using attendance software; stay current on state reporting requirements. Assist Site Administrator and other office staff by typing letters, memos, and reports; format and type school communications; assist with the administrative and communications aspects of special school projects or student activities; provide necessary staff support at registration. Interview and screen callers and visitors; provide general information about the school or direct to appropriate personnel; receive complaints and concerns from staff and the public and resolve problems whenever possible, referring the more complex problems to appropriate personnel. Assure timely communications with site staff, students, parents, other school sites, District office staff and the general public; receive and route office correspondence and communications; type a variety of materials; prepare classified and certificated staff absence forms; screen and proofread materials before distribution for adherence to the rules and regulations of the school and District. Maintain comprehensive records and files that may contain information of a confidential or sensitive nature. Operate a variety of office machines and equipment including computers, photocopy machines, and calculators. Train and supervise student assistants. Work collaboratively with school staff to enhance school services, operations, and work environment. Perform basic first aid as necessary; tend to students' medical needs by contacting parents when students are ill; order medical supplies; process, record, and follow-up on PE medical excuses. Perform special projects and other duties as assigned. Minimum QualificationsEducation and Experience: Any combination of training, experience, and/or education equivalent to two years of increasingly responsible office experience; school office experience preferred. Skills: Proficient in use of word-processing and student attendance software used by the office; supervisory skills with student assistants. Knowledge and AbilitiesKnowledge of: Modern office practices, procedures, and equipment. Complex record-keeping and filing techniques. Operation of a computer system, computer software, and data entry techniques. Correct English usage, grammar, spelling, punctuation and vocabulary. Interpersonal skills using tact, patience, respect and courtesy. Telephone systems, techniques and etiquette. Operations, procedures, specific rules and precedents of the school site and District. Ability to: Meet District standards of professional attitude as outlined in Board Policy 4219.21 Code of Ethics for Classified Personnel. Communicate effectively in English both orally and in writing. Establish and maintain cooperative and effective working relationships with others. Use tact and good judgment in working in school office environment. Maintain complex records and prepare reports; maintain the integrity of confidential and sensitive information. Determine appropriate action within clearly defined guidelines. Work independently with little direction. Meet schedules and time deadlines. Compose correspondence and written materials independently. Perform advanced, complex specialized clerical and administrative duties in support of office or school activities. Working Conditions: Environment: School office environment; constant interruptions. Physical Abilities: Hearing and speaking to exchange information in person and on the telephone; adequate vision to read, prepare and proofread documents; sitting or standing for extended periods of time; dexterity of hands and fingers to operate a computer keyboard and other office equipment; kneeling, bending at the waist and reaching overhead, above the shoulders and horizontally to retrieve and store files and supplies; lifting light objects.
