The Wisconsin Department of Transportation, Division of Transportation System Development is seeking an interested and qualified individual to fill an Operations Program Associate vacancy in the Southeast Region, headquartered in Waukesha, WI. This position offers a hybridized work schedule. The position will be headquartered at and required to work from the Waukesha State Office Building in Waukesha, WI up to 4days per week. All employees working a hybrid work schedule are generally expected to telework from within the State of Wisconsin. This topic will be discussed more at the time of the interview. The position is an administrative subject matter expert in office operations and is responsible for evaluating workflows, recommending process improvements, and ensuring operational continuity across program areas. Independently tracks and maintains data related to administrative services, facilities, and equipment inventory to support efficiency and informed decision-making. This position functions in a hybrid working environment, covering the in-office responsibilities on a rotating schedule as the point of contact for all Southeast Region employees as well as a large number of additional agency employees also headquartered at the office. Frequent contact with the public, elected representatives and their staff, the media, and internal DOT staff is required. This position must effectively respond to inquiries related to the department's transportation programs, often navigating sensitive or adversarial situations with professionalism and discretion. This position requires strong judgement, initiative, and in-depth understanding of department, division, and regional organizational structures, policies and procedures. This position requires a high degree of independent judgment, analytical ability, and organizational skills, along with working knowledge of regional operations, budget principals, policy interpretation, and systems management. Participation in statewide workgroups to ensure regional consistency and alignment with department-wide strategic goals is required. This position serves as a key administrative resource within the region, serving as the sole lead for fleet, facilities management, employee office administration, and supports health, safety and wellness programs. This position also provides essential front-line reception services to the public, contractors, consultants, elected officials, and internal team members, serving as the representative for the department and ensuring a positive and professional experience. This role is the region's primary contact for all daily facility-related maintenance and improvement requests, including oversight of ergonomics coordination, hotel cube management, and floorplan updates. Additionally, this position serves as a resource to the Region Health, Safety, and Wellness Program, overseeing compliance with safety inspections, emergency planning, wellness events, and coordination, documentation and reporting of regulatory inspections. The position also fully manages the regional fleet program, including preventative maintenance scheduling, accident reporting, and fiscal tracking, while serving as the regional liaison to the division and ensuring statewide fleet policy compliance. Salary Information This position is in schedule-range (02-11) with an hourly salary of $22.31, plus excellent benefits. A twelve month probationary period is required. Pay for current state employees will be set in accordance with the Wisconsin State Compensation Plan. Job Details This state agency does not sponsor work visas. Qualifications A minimally qualified applicant will have experience and/or training with the following: Experience tracking/managing data Experience reading and interpreting laws, regulations, policies, procedures, or other complex documents Experience handling multiple projects and/or tasks in a work environment Experience in record keeping (i.e. establishing and following filing procedures, tracking/logging data, etc.) In addition to the minimum qualifications, a highly qualified applicant will also have experience with the following: Administrative operations experience (i.e. office operations, reception, customer service, facility management, health/safety, etc.) Program management experience (facilitating and/or managing projects or initiatives, etc.) This position will also require the ability to lift and carry objects weighing up to 50lbs.
