COMMUNITY NAME Community Support Office Job ID 2026-238432 JOB OVERVIEW The Payroll Tax Analyst will work on a team that is responsible for running weekly and bi-weekly payrolls in the United States (US) and Canada, and mainly responsible ensuring organizational compliance with federal, state and local tax regulations by managing tax withholdings, filings and reporting. The candidate will perform duties that require an understanding of company policies, systems and procedures with a strong level of customer service. The unique responsibilities for this role include but are not limited to the essential functions listed as follows: Tax Compliance and Reporting Work with third-party vendors to ensure timely and accurate filing of federal, state, local and Canadian payroll tax returns, including Forms 941, W-2, T4 and unemployment filings. Review annual tax statements (W-2s, T4s) for accuracy. Investigate and resolve payroll tax notices, discrepancies and inquiries from tax authorities, including new tax account setup. Coordinate payments from various agencies to ensure timely and accurate processing by the Treasury team. Work on-site as needed to process incoming mail, tax documents and refund checks. Monitor changes in payroll tax legislation and regulations to ensure ongoing compliance. Perform daily and monthly payroll tax monitoring, as well as quarterly and annual reconciliations of payroll tax filings. Process IRS lock-in letters and manage related withholding updates. Serve as primary point of contact for employee payroll inquiries via case management tool, email and telephone. Payroll Support, Funding and Cash Management Support accurate and timely processing of weekly and bi-weekly US and Canadian payroll for a 20K+ employee population using Workday. Review payroll output post-processing to ensure accuracy and make corrections as needed. Assist with payroll funding for net pay, taxes and garnishments in partnership with Treasury. Handle post-payment payroll activities including returned deposits, reversals and stale-dated checks. Garnishment Processing Input and monitor wage garnishments and support orders in the US and Canada and coordinate with third-party administrators. Partner with Legal and administrators to resolve garnishment inquiries. Accounting, Reporting and Audit Support Prepare and process payroll journal entries and support monthly balance sheet reconciliations. Partner with accounting team to research and resolve payroll variances. Provide payroll and tax supporting documentation to auditors and management. Systems and Projects Participate in Workday initiatives including updates, testing and migrations. Test payroll tax and garnishment changes to ensure accurate outputs. Other Cross-train and provide backup support for payroll team members. Maintain compliance in assigned required training and regulatory requirements. Perform other duties as assigned. Experience and Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed throughout this job description are representative of the knowledge, skills, and abilities required. High school diploma required; some college preferred. Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) a plus. High proficiency in Microsoft Excel and HRIS software. 3-5 years of payroll tax experience. 5+ years of US payroll processing and funding experience. 2+ years of hands-on Workday payroll processing experience required. Experience with Canadian payroll a plus. Strong analytical mindset and attention to detail. Deep knowledge of payroll tax principles and regulations. Experience with year-end payroll reporting including W-2 processing. Knowledge of accounting practices and process improvement techniques. Ability to interpret payroll system reporting. Experience working with outsourced payroll providers preferred. Proven customer service communication skills. Ability to multitask, problem solve and work under pressure.
