NORTHWEST INDEPENDENT SCHOOL DISTRICTTitle: Admin Asst I Finance (0410A)Reports To: Executive Director of Financial ServicesDept. /Campus: Financial ServicesWage/Hour Status: Non-ExemptDuty Days: 235 DaysPay Grade: P35Date Revised: 02/2025Primary Purpose: Perform secretarial duties and operations for the Executive Director of Finance. Serve as the office manager for the Executive Director of Finance and business office. Maintain and update annually the financial procedure manuals as well as policies and regulations related to business services. Organize and manage the routine work activities of an administrative office assigned. Qualifications: College hours - Business Degree preferred. Minimum three years accounting experience - school business experience preferred. TASBO certification preferred. Proficient typing, word processing, and file maintenance skills Excellent organization, communication, and interpersonal skills Excellent secretarial/office experience Ability to work within deadlines and handle interruptions. Excel in grammar and spelling skills Basic math skills Ability to manage physical and electronic files. Detail oriented Possess the following skills: statistical typing, word processing, and 10-key calculator. Highly proficient in computer spreadsheet and Microsoft applications Major Responsibilities and Duties: Perform secretarial duties and operations for the CFO. Maintain fixed asset records for the district. Facilitate courier services with courier, schools and banking representative, providing schedules and supplies. Special project preparation including the processing of reports such as the Comprehensive Annual Financial Report (CAFR), Audit, and Instructional Facilities Allotment applications; requests for proposal for banking, audit and insurance services; and updates to the procedure's manual. Assist with the financial reconciliations of numerous bank accounts, district ledgers and third-party vendors. Create budget and project account codes. Prepare and enter journal entries to district ledgers. Maintain district investment collateral reports. Create quarterly financial department newsletter. Schedule, prepare documents, and conduct training for district personnel and school support organizations in financial matters. Support district personnel and train new office managers on financial procedures. Prepare ledgers and complete financial functions for closing at fiscal year-end. Act as the receptionist for the Business Office, including assisting district employees and patrons with forms and questions. Other duties as assigned. Supervisory Duties: N/A Equipment Used: Personal computer, typewriter, printer, copier, calculator, and fax machine. Working Conditions: Maintain emotional control under stress, work with frequent interruptions. Able to lift and move boxes up to 50 pounds. Repetitive hand motions. Position requires frequent bending, stooping, twisting, pulling, overhead reaching, sitting, and keyboarding. Position requires the ability to lift 25 pounds to waist high.
