Location: 76 Acco Drive, York, PA 17402 Location: York, PA Department: Executive Schedule: Monday-Friday, 8:00 AM-5:00 PM Pay- $18.00-$20.00About the Role We are seeking a highly organized, professional, and proactive Administrative Assistant to support executive functions and day-to-day office operations. In this role, you will be a key point of contact for visitors and employees, ensuring a smooth and efficient office environment while providing essential administrative support to site leadership and cross-functional teams. What You'll Do Support daily administrative tasks including filing, scanning, copying, data entry, document preparation, and mail processing. Assist with meeting logistics-scheduling, agendas, room setup, lunch orders, and visitor coordination. Serve as the first point of contact for phone calls and onsite visitors; manage site badge access and maintain a professional, welcoming office environment. Arrange travel, including booking flights, hotels, rental cars, and restaurant reservations. Communicate professionally via phone, email, and written correspondence with internal and external stakeholders. Maintain office supply inventory, place orders, and ensure materials are stocked and available. Prepare and send mail, packages, and courier shipments; maintain postage meter. Assist with special projects, events, and executive-level administrative needs. Support site leadership with confidential tasks and time-sensitive requests. Contribute to a positive team environment by assisting colleagues and stepping in where needed. What You Bring High School Diploma or GED required. Minimum 2 years of administrative support experience in an office or corporate setting. Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and Office 365. Ability to quickly learn new systems and tools (USPS, FedEx, ERP platforms, etc.). Strong written and verbal communication skills with the ability to handle challenging situations with professionalism and courtesy. Experience coordinating travel and working with expense reimbursement tools. Excellent organization, time management, and attention to detail. Ability to manage multiple priorities in a fast-paced, growing environment. Demonstrated ability to work independently with minimal supervision. High level of professionalism, confidentiality, and discretion.
