Position SummaryThe Payroll and HR Support Specialist is responsible for the accurate and timely processing of U.S. and Canadian payroll while providing hands-on HR operational support for the People Operations and Administration (POA) organization. This role plays a critical part in ensuring payroll compliance, maintaining organized and digitized HR records, and supporting day-to-day POA administrative functions. The ideal candidate has experience processing Canadian and US payroll, is detail-oriented and highly organized, and is comfortable balancing payroll responsibilities with tactical HR projects.Key ResponsibilitiesPayroll Administration (U.S. & Canada) Process bi-weekly and/or ad-hoc payroll for U.S. and Canadian employees accurately and on scheduleEnsure compliance with federal, state, provincial, and local payroll regulationsManage payroll changes including new hires, terminations, compensation updates, deductions, and garnishmentsCoordinate payroll tax filings, year-end processing (W-2s, T4s), and audits as requiredPartner with Finance and HR to reconcile payroll data and resolve discrepanciesRespond to employee payroll inquiries in a timely and professional mannerExperienced in filing Workplace Safety and Insurance Board (WSIB), Employer Health Tax (EHT), Relevé 1 for Quebec, and T2200 forms in Canada. HR Support & Administration Support core HR functions including onboarding, offboarding, employee data maintenance, and document managementReorganize the existing HR repository to ensure consistency, accuracy, and complianceDigitize paper-based personnel files and other HR records at the Greensboro office, ensuring proper indexing and secure storageMaintain confidentiality and compliance with data privacy requirements (U.S. and Canada)Assist with audits, compliance reviews, and internal HR reporting as neededProvide general HR administrative support to the broader HR team Process Improvement & Compliance Identify opportunities to streamline payroll and HR administrative processesDevelop and document standard operating procedures (SOPs) for payroll and HR file managementEnsure HR records retention practices meet legal and company standards QualificationsRequired Qualifications 3+ years of payroll and/or HR administrative experienceHands-on experience processing U.S. payroll; Canadian payroll experience requiredWorking knowledge of U.S. and Canadian payroll laws, taxes, and compliance requirementsStrong organizational skills with experience managing physical and digital HR recordsHigh attention to detail and commitment to confidentialityProficiency with HRIS and payroll systems (e.g., ADP, UKG, Isolved, PayWorks, Payfluence, Ceridian, Quota Path, or similar)Strong communication and problem-solving skillsPreferred Qualifications Payroll certification (CPP, PCP, or equivalent)Experience supporting multi-state U.S. payrollExperience leading or supporting HR digitization or file conversion projectsFamiliarity with HR compliance and records retention requirements Work Environment Hybrid role (On-site and Remote) role based in the Greensboro, NC officeRegular interaction with HR, Finance, and employees across the U.S. and CanadaHands-on work involving both digital systems and physical file managementKey Competencies Strategic thinking and long-term planningStrong analytical and financial acumenProblem-solving and risk assessment solving and risk assessment solving and risk assessmentRelationship building and stakeholder managementExcellent communication and negotiation skills Key Performance Indicators (KPIs)Payroll Accuracy & Timeliness Payroll accuracy rate: ≥ 99.5% error-free payroll runsOn-time payroll processing: 100% of payrolls processed by scheduled deadlinesPayroll issue resolution: Payroll-related inquiries resolved within 2 business days Compliance & Controls Audit findings: Zero material audit findings related to payroll or HR recordsTax and filing compliance: 100% on-time payroll tax filings (U.S. and Canada) HR Records & Digitization HR file digitization completion: 100% of existing paper files digitized and indexed within agreed project timelinesHR repository organization: Fully standardized and searchable HR repository with documented structureData accuracy: ≥ 99% accuracy rate in employee records Operational Efficiency Process improvement initiatives: At least 2 documented payroll or HR process improvements annuallyHR administrative turnaround: New hire and employee record updates completed within 1-2 business days
