LWTech offers , , and in , including STEM-focused programs in Science, Technology, Engineering and Math. LWTech serves the Eastside and is located within the city of Kirkland, which is situated on the eastern shore of Lake Washington. Kirkland is home to companies such as GoDaddy, Google, Astronics and EvergreenHealth, and the college is within minutes from Microsoft and Nintendo. Summary of Responsibilities Perform a variety of complex duties to relieve second line manager of technical and routine administrative detail. Perform advanced office support duties in line with modern office support procedures and practices, department and college procedures and supervisor instruction. Handle a broad scope of confidential information. Apply full working knowledge of specialized functional area and advanced administrative office support practices to independently perform regular and routine work activities. Resolve problems by using established policies and procedures. May be responsible for the activities of the entire administrative office support function within the assigned area. This position will serve areas within School of Engineering, Manufacturing and Transportation Technology and other program areas as needed. ESSENTIAL FUNCTIONSPerform a variety of administrative tasks to support the School of Engineering, Manufacturing and Transportation technology employees including course schedule data entry, class building, document workflow tasks, contract assignments, project tracking, processing forms, records retention, and more Prepare agendas and attend meetings; take, transcribe, and distribute minutes Maintain supervisor's calendar and others to which assigned; make appointments; arrange and coordinate meetings Provide high level of quality customer service; maintain confidentiality and use tact and discretion Greet and escort visitors; receive and respond to inquiries and complaints tactfully and constructively; research and compile required information for response Screen phone calls, mail, email, visits, inquiries and other relevant matters; independently answer routine matters and refer others to appropriate persons Perform complex word processing tasks; create and proofread appropriate written Communications; use complex spreadsheet functions and databases to develop and maintain records and reports Develop office procedures, routines, priorities and filing systems; handle multiple projects and meet deadlines Compile data from a variety of sources and prepare reports as directed; maintain appropriate records to monitor funded programs Maintain, monitor, and evaluate records and reports; completes or processes requisitions, invoices and payroll timesheets; order supplies Serve as point of coordination as authorized in inter-department, college, and public matters Plan, direct, and monitor work of subordinate staff as assigned; may take part in interview process for new employees or candidates for promotion and make effective recommendations Other related duties of similar scope and complexity Regular and satisfactory attendance and punctuality QUALIFICATIONSHigh school diploma or equivalent required; associate's degree or higher preferred Two years of related work experience; knowledge of current administrative office procedures to thoroughly and accurately perform the full scope of responsibility within the assigned department as listed above Excellent written and verbal communication and customer service skills; demonstrated ability to communicate with the general public in a courteous, helpful and clearly understood manner; ability to work with diverse populations Strong organization skills; detail-oriented; ability to move from one task to another effectively and prioritize time and duties efficiently and work with limited supervision Demonstrated ability to use tact and discretion; ability to maintain confidentiality of information including personnel records, evaluations, budgets, and other related matters Knowledge of Microsoft Office and Applications, Zoom, related software applications, and standard office equipment; knowledge of proper English grammar, usage, and spelling; keyboarding speed of at least 50 wpm; demonstrated ability to adapt to new technology Experience with CTC Link or similar enterprise software application preferred SUPPLEMENTAL INFORMATIONCompensation & Work Schedule This is a union covered position. As defined by the current classified bargained agreement, newly hired employees shall be placed between Step 3 $4,430 and Step 6 $4,979 of the salary schedule in Appendix A of the Classified Union Bargaining Agreement. Employees hired with an associate degree will be placed at minimum of step 4. Employees hired with a bachelor's or master's degree will be placed at minimum of step 5. Ongoing (Step 7 - Step 13 ) step advancement is defined by the classified bargained agreement. Salary placement for current classified employees is per the classified bargained agreement. This position works 40 hours per week. Working hours may vary but are typically between the hours of 9:00am to 6:00pm Monday through Friday; schedule to be determined by the supervisor.
