Job Title: Dealership Internal Body Shop Administrative Assistant Reports To: Body Shop Manager Job Summary: We are seeking a detail-oriented and professional Administrative Assistant to join our fast-paced dealership body shop. You will be the first point of contact for our customers, Sales Team representatives, and the organizational "hub" that keeps our production and billing moving. This role requires a unique mix of high-level customer service and technical administrative accuracy. Key Responsibilities: Customer Experience: Greet customers and Sales team members, manage the multi-line phone system, and provide status updates on vehicle repairs. Repair Order Coordination: Assist with repair approvals, repair invoicing, uploading photos and documents to portals (e.g., CDK, CCC ONE), and following up on outstanding receivables. Production Support: Assist estimators and the shop manager with closing repair orders (ROs), processing technician payroll/hours, tracking parts orders and arrivals. Accounting/Clerical: Process payments (Tracking and receiving payment orders (POs), manage daily accounting deposits, and maintain organized digital and physical vehicle files. Job Requirements: Education: High School Diploma or GED required. Experience: 1-2 years of administrative experience (Automotive or Insurance background preferred but not required). Software Skills: Proficiency in Microsoft Office (Word, Excel, Outlook). Experience with CCC ONE, Mitchell, or Audatex is a major plus. Communication: Exceptional verbal and written communication skills with a focus on "empathy-first" customer service. Attributes: Strong multitasking ability-must be able to handle a busy front desk while maintaining accuracy in data entry. License: Valid Driver's License and clean driving record.
