This role is responsible for harmonizing, implementing, and supporting TAIT's People Operations practices within the Gallagher Nashville office, ensuring process consistency, data integrity, and compliance with applicable labor laws. The People Operations Specialist partners closely with the Nashville management team, the TAIT People Operations team, Talent Acquisition, People Business Partners, and other cross-functional stakeholders to ensure seamless operational execution and a high-quality employee experience.Essential Responsibilities/Accountabilities - Nashville Gallagher office Serve as the primary People Operations contact for the Nashville office, providing day-to-day support to managers and employees on People policies, processes, and general inquiries. Support the full employee lifecycle, including hiring, pre-boarding, onboarding, internal movements, offboarding, and personnel transitions. Review, refine, and implement harmonized TAIT People Operations processes within the Nashville office to ensure consistency, efficiency, and alignment with TAIT's standards. Ensure the accuracy, integrity, and confidentiality of employee data and personnel files, maintaining all employment-related documents in compliance with TAIT policies and legal requirements. Manage I-9 administration, including timely completion, re-verification, and proper storage to ensure full compliance with federal regulations. Provide timely and accurate payroll-related data, partnering with the Payroll team to support efficient and error-free payroll processing. Prepare a variety of employment documents, including offer letters, employment-status change letters, employment verifications, performance-related forms, offboarding documents, and other People-related documentation as needed. Process HR system updates for all employee lifecycle changes, including new hires, position changes, promotions, compensation adjustments, and separations, ensuring accuracy and data integrity. Implement and administer TAIT's time-tracking, time-off and leave-management policies and processes, ensuring accurate tracking, timely approvals, and compliance with company standards and applicable labor regulations. Support local managers with employee relations logistics, performance cycle administration, and delivery of People initiatives under guidance from People Business Partners. Ensure compliance with federal, state, and local labor laws, escalating issues as appropriate and maintaining up-to-date documentation practices. Assist with benefits administration tasks, including employee questions, enrollment support, documentation, and coordination with the Total Rewards team. Partner cross-functionally with Talent Acquisition, People Business Partners, People Operations, and global stakeholders to ensure seamless People processes and a positive employee experience. Contribute to People Team projects and continuous improvement efforts, including process standardization, policy updates, employee experience initiatives, and system enhancements. Support People Business Partners and the Employee Relations team, serving as the first point of contact for Gallagher Nashville employees and people managers. Maintain a welcoming, high-support employee experience, ensuring employees receive timely, accurate, and empathetic support. Additional responsibilities - TAIT Global (USA) People Operations Provide support to the broader TAIT People Operations function, assisting other TAIT Global locations and offices as capacity and business needs allow. Actively participate in TAIT People Team projects and initiatives, contributing to process improvements, harmonization efforts, and cross-functional collaboration across the global People Operations network. Comprehensive knowledge of U.S. HR laws, regulations, and compliance requirements, including employment eligibility, recordkeeping, and labor standards. Strong proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint. Experience with HRIS and ATS platforms, preferably ADP or similar systems.
