Administrative Assistant - Business Affairs Posted on 2/18/2026 Accepting applications About this position Responsible for processing campus-wide purchase orders and operating the campus supply store. Regularly serves as back-up to the executive assistant to the Vice President of Finance and Administration and provides other clerical support as needed to the offices of Business Affairs. ESSENTIAL FUNCTIONS Processes requisitions for approval of creating Purchase Orders for all departments. Operates the campus supply store by providing personnel with necessary supplies and maintaining sufficient on-hand items for future use by assisting with ordering, receiving, sorting, storing and distributing basic office supplies and equipment. Maintains a list of office supply inventory and provides an annual report of stored office supplies. Distribute incoming mail to appropriate office departments and personnel by receiving, sorting, opening (as appropriate), and routing correspondence according to prescribed office procedures and guidelines. Prepare outgoing correspondence for mailing by addressing envelopes, affixing the correct postage or indicating the budget number on the envelopes, verifying the completeness of the correspondence prior to sealing, and placing the mail in the designated pick-up location or delivering the mail to the campus mailroom. Prepare and/or complete standard forms and cards by performing basic keyboarding. Maintain accurate information and records relating to the functions of the office either by performing basic records maintenance of alphabetical, chronological, and/or numerical files or by performing basic keyboarding for data entry of information into an established database. Provide required or requested documents by operating photocopier equipment and/or standard office machines, collating and assembling printed or copied materials such as reports and presentations and delivering finished materials as directed. Exercises discretion in the performance of assigned duties by being knowledgeable of College and/or departmental policies regarding confidential materials and information and complying with such policies when handling confidential items or providing information to College employees, students, or the public. Provides backup for the Business Affairs office and assists the executive assistant to the Vice President of Finance and Administration as needed. Contributes to the success of the Business Affairs office by performing all other duties as needed to drive the vision, fulfill the mission, and abide by the values of the College. PHYSICAL DEMANDS A major part of the job is performed while sitting, although the work does require standing, walking and the lifting and carrying of objects up to 25 pounds, with or without assistance. Extensive use of computer systems including keyboard and monitors. Near visual acuity necessary for reading computer screens and reading printed materials. Ability to listen carefully to others while on the phone or in person. About our ideal candidate EDUCATION AND WORK EXPERIENCE High school diploma or equivalent required. 2 years previous experience in an administrative support preferably with a higher education institution. Must be proficient with MicroSoft Word, Excel and Outlook. Must have strong written and oral communication skills as well as a drive to be a motivated customer support champion. Must have strong organizational skills including the ability to multi-task.
