Key Responsibilities Territory Management: Conduct initial franchise territory checks using proprietary mapping and analysis software. Analyze territory demographics and existing business data to support franchise development and support initiatives. Prepare and maintain reports on territory availability, overlaps, and compliance. Communication & Inbox Management: Monitor and manage the central Franchise Support department email inbox, serving as the first point of contact for many inquiries. Triage, categorize, and respond to or escalate incoming requests from franchise owners and internal staff in a timely and professional manner. Ensure all communications are tracked and that follow-up is completed. Executive & Department Scheduling: Provide high-level scheduling and calendar management for the Franchise Support Directors. Coordinate and schedule departmental meetings, franchise support calls, webinars, and virtual (or in-person) training sessions. Manage scheduling conflicts, send reminders, and prepare meeting agendas or materials as needed. General Administrative Support: Perform diverse administrative duties, including data entry, managing digital files, and preparing reports, memos, and presentations. Assist with the coordination of travel arrangements and processing expense reports for the department leadership. Support the planning and execution of departmental projects and assist with preparations for the annual PrideStaff conference. Order and maintain office supplies for the department. Qualifications and Skills Experience: 2+ years of experience in an administrative assistant, coordinator, or executive assistant role. Experience in a franchise, legal, or corporate environment is a significant plus. Education: High school diploma or equivalent required. An Associate's or Bachelor's degree in Business Administration or a related field is preferred. Technical Skills: High proficiency in the Microsoft Office Suite, especially Outlook (for complex scheduling), Excel (for reports), and PowerPoint. Ability to quickly learn new software, including internal mapping and franchise management systems. Core Competencies: Exceptional Organization: Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines without sacrificing accuracy. Communication: Strong written and verbal communication skills. Must be able to interact professionally and courteously with executives, internal staff, and franchise owners. Discretion: Ability to handle confidential information with the utmost discretion and professionalism. Proactive Mindset: A self-starter who can anticipate needs, identify potential problems, and find solutions independently. Attention to Detail: Meticulous accuracy in all tasks, from scheduling to data entry and report generation.
