This is a civilian position and does not require military experience (commission or enlistment)Executive Assistant/SchedulerScope: Reporting to the AUSA Chief of Staff, the Executive Assistant/Scheduler will provide administrative support to the Executive Office as well as AUSA Vice Presidents.Position is hybrid remote, onsite Tuesday through Thursday, and remote Monday and Friday.Major Duties and Responsibilities: Serves as a highly proficient and detailed scheduler for the calendars of the President & CEO, Chief of Staff, and Vice Presidents as required, ensuring that calendars are up to date and conflicts avoided.Coordinates executive communications as directed by the Chief of Staff, including taking calls, responding to emails, setting up conference calls, and scheduling meetings.Prepares sophisticated, well-written internal and external correspondence, reports, and other documents for the Chief of Staff's review and approval.Manages complex domestic and international travel arrangements as requested and creates related itineraries.Arranges internal and external events as directed, including making catering arrangements and handling registration.Assists in managing the Executive Office budget, including coding and tracking invoices and maintaining related spreadsheets.Maintains an organized filing system of paper and electronic documents for easy access and retrieval.Assists in preparing for AUSA Board meetings, Annual Meeting, and other events throughout the year, including preparing and assembling meeting materials such as binders or other handouts.Other special projects as assigned.Upholds a strict level of confidentiality and sustains a high level of professionalism in all interactions and communications. Qualifications: Minimum of 4+ years of experience as an Executive Assistant or similar role, preferably reporting directly to senior management.Bachelor's degree in a relevant field, or a combination of education and work experience.Advanced Microsoft Office skills, with an ability to become familiar with association-specific programs and software.Strong organizational, project management and problem-solving skills with excellent multi-tasking abilities.Outstanding written and oral communication skills.Familiarity with the Military/Army highly desired.Friendly and professional demeanor.Ability to work evenings and weekends as necessary during events.
