Title: Operations Coordinator Location: Tonawanda, NY Schedule: Days Compensation: $63,000 - $75,000/yearly, based on experience What We Are Looking For The Commercial Energy Solutions Coordinator supports the day-to-day administrative and financial operations of the Commercial Energy Solutions business. This role focuses on invoicing, rebate and incentive tracking, job documentation, and vendor coordination to ensure projects are billed accurately, rebates are captured, and operational processes run smoothly. This is a highly organized, execution-focused role that partners closely with operations, sales, and leadership to keep projects moving, documentation complete, and financial details accurate. What You Will Do Invoicing & Job Documentation Prepare and process accurate and timely invoicing for commercial service and project work Ensure invoices align with contracts, pricing, and completed work Coordinate with operations and sales to resolve billing discrepancies Maintain organized job files including contracts, pricing, and close-out documentation Support collections by providing invoice backup and responding to questions Rebates & Compliance Tracking Manage and track all commercial rebate programs and submissions Ensure required documentation is collected and submitted on time Maintain tracking logs for rebate status and payments Assist with prevailing wage and compliance documentation as required Maintain customer contract and compliance records Vendor & Operational Support Assist with vendor and subcontractor coordination and documentation Track vendor invoices and ensure alignment with project scope Support purchase orders, work orders, and job cost tracking Partner with operations on job close-out and required paperwork Maintain organized records for audits and internal reporting Reporting & Administrative Support Maintain reports on invoicing status, rebates, and job documentation Provide regular updates on outstanding invoices and rebate submissions Identify opportunities to improve organization and process efficiency Support Commercial leadership with administrative and operational needs Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
