Job Title: Executive Assistant, ATL Department: Office of the President Reports To: Executive Office FLSA Status: Non-Exempt Band: B2, Location 3 JOB DESCRIPTION The Executive Assistant (EA) serves as a trusted strategic and operational partner within the Office of the President & CEO, providing high-level executive support to the President & CEO. This role works in tandem with the Executive Office-ensuring continuity, precision, and proactive management of executive priorities in a fast-paced, mission-driven environment. The ideal candidate is a seasoned executive assistant who brings exceptional judgment, discretion, and organizational acumen, with the ability to anticipate needs, manage competing priorities, and operate seamlessly across the organization's most senior stakeholders, including the Leadership Team, Board of Directors, and key donors. This position requires a confident, polished professional who thrives in complexity, exercises sound decision-making, and approaches executive support as both a service and a strategic function. PRIMARY RESPONSIBILITIES AND DUTIES: Key ResponsibilitiesWork in close partnership with the Executive Office, supporting day-to-day executive office operations and serving as a key second chair to ensure continuity, alignment, and seamless coverage. Proactively manage the President and CEO's complex calendar with competing priorities, ensuring alignment with executive priorities and organizational objectives. Coordinate high-touch executive travel, including air, rail, and ground transportation, ensuring seamless end-to-end logistics, appropriate accommodations, and real-time adjustments to support complex schedules and executive preferences. Prepare, reconcile and submit expense reports and process invoices for the department. Anticipate executive needs and flag time-sensitive or high-priority matters to Executive Office as appropriate. Prepare and distribute meeting agendas, briefing materials, and pre-read documents; ensure executives are fully prepared for internal and external engagements. Interface with senior leaders, Board members, donors, and external stakeholders with a high degree of professionalism and diplomacy. Draft and edit correspondence, memoranda, and other written materials on behalf of executives. Monitor and manage incoming communications, exercising judgment in prioritization and response. Prepare, reconcile, and submit executive expense reports; process invoices and ensure compliance with organizational policies. Maintain accurate and secure electronic and paper filing systems, safeguarding confidential and sensitive information. Support the preparation of presentations, reports, and briefing materials for internal and external audiences. Manage special projects and ad hoc assignments requiring independent judgment, discretion, and deadline discipline. Provide backup coverage to other Executive Assistants within the Office of the President to ensure seamless operations. SUPERVISORY RESPONSIBILITIES No supervisory responsibilities. QUALIFICATIONS:EDUCATION AND EXPERIENCE Seasoned professional with a minimum of five to seven years of experience working at the C-Suite level. A bachelor's degree is preferred. Exceptional writing, editing and proofreading skills. Excellent organization and time-management skills. Computer Skills Demonstrated proficiency in O365, Blackbaud, Concur and ADP. OTHER SKILLS AND ABILITIES Exercises sound judgment and discretion when handling sensitive financial, legal, personnel, and institutional matters. Highly proactive, detail-oriented self-starter capable of managing work from conception to completion. Comfortable operating under pressure while maintaining composure and professionalism. Strong interpersonal skills with the ability to build trusted relationships across all levels of the organization. Resourceful, solutions-oriented, and adaptable in a fast-paced environment. Team-oriented mindset with a strong commitment to collaboration and service. Poised, polished, and confident in interactions with senior leaders and external stakeholders.
