Position Type: Secretarial/Clerical/Secretary - 12-Months Date Posted: 2/11/2026 Location: Ephrata Area School District -- District Office Date Available: June 2026 Closing Date: 03/04/2026 Business Office Administrative AssistantDistrict Office The Ephrata Area School District is seeking a highly organized and detail-oriented Business Office Administrative Assistant to support the Business Manager and Assistant Business Manager in the daily operations of the Business Office. This position plays a critical role in ensuring efficient administrative processes, maintaining confidential records, and supporting Board and committee functions. This role requires discretion, strong organizational skills, and the ability to work independently in a high-traffic office environment. This is a 12-month, non-exempt position reporting directly to the Business Manager. Key Responsibilities Key Responsibilities Board & Committee Support Prepare monthly agendas for Board of Education Budget/Finance and Property Committee meetings Transcribe and maintain official meeting minutes Prepare Board of Education meeting agendas Prepare agendas and transcribe minutes for the Workplace Safety Committee and Ephrata Area School Benefit Committee Records & Document Management Maintain official Business Office files, including: Board-approved agreements General Obligation Bonds Construction projects and bid documentation Lincoln Benefit Trust and PA Department of Education records Healthcare and commercial insurance policies Vendor clearances and driver records Log and assist with Right-To-Know requests Maintain Business Manager's daily schedule Maintain District phone recordings Compile Weather Emergency Phone Chain Financial & Payroll Support Prepare bank deposit tickets Generate weekly absence reports (AESOP import into FIS system) and complete annual reconciliation Assist with bi-weekly payroll proofing, as needed Insurance & Vendor Coordination Coordinate with insurance agents regarding renewals, policy changes, and claims Maintain District cell phone accounts (Verizon) Operational Support Provide transportation coverage assistance when Transportation Director is unavailable Receive, prioritize, and distribute incoming mail Manage incoming and outgoing phone communications Prepare correspondence for the Business Manager Education High School Diploma (required) Experience 2 5 years of experience working independently in a high-traffic office environment Proficiency with Microsoft Office (Word, Excel, Access) and ability to learn student management systems Skills & Abilities Strong organizational, communication, and customer service skills Ability to handle confidential information with discretion Ability to work independently, prioritize tasks, and exercise sound judgment Professional demeanor with students, families, staff, and the public Work Schedule & Compensation Twelve-month position Salary and work hours in accordance with the current education support staff schedule WORKPLACE EXPECTATIONS: Must demonstrate regular and punctual attendance. Must interact positively with administration, students, staff, parents, and community members. Must demonstrate professionalism and appropriate judgment in behavior & speech and dress in a neat, clean, and professional manner. Must follow all District policies, work procedures and reasonable requests by proper authority. Must maintain the integrity of confidential information within the Business Office. Follow established protocols as outlined in Student/Faculty/Support Staff handbook Other Requirements: Applicants must also possess the following criminal clearances obtained within the last 12 months: Act 34 - PA Criminal Record; Act 114 - FBI Background Check; Act 151 - PA Child Abuse Clearance. The Ephrata Area School District also requires a pre-employment drug test, physical, and TB test upon offer of employment as directed by PDE and the PA Department of Health.
