Job DescriptionJob Summary:The Administrative Assistant will be responsible for performing administrative activities and requiresattention to detail and the ability to work in a fast paced environment providing support to two servicecenters. Duties & Responsibilities Ability to handle highly sensitive and confidential informationAbility to work in a team environment and maintain a pleasant dispositionAbility to handle simultaneous projects; work independently and efficientlyStrong organizational, prioritization skills, and attention to detailProvide administrative support: typing reports/presentations, managing schedules/calendars, coordinating training registration, and arranging travel.Coordinates mail (postal service, intercompany, private carrier)Orders, receives and maintains inventory of office suppliesAssists managers with hiring and staffing service centersAssist the team with budget tracking, goods-receipt and other metric recordingAssist the team with time tracking (Kronos) and reportingAssist with monitoring, maintaining and follow-up of day to day operational record keepingAdhere to all work-related health, safety, and SOPs, including the Occupational Health and Safety Act.Following up on and resolving payment issues in collaboration with the procurement teamPreparing Purchase Orders (POs)Updating SAP for Goods ReceiptsManaging inventory and purchasing monthly office supplies, water, and cleaning suppliesPreparing Purchase Requisitions (PRs) and sending POs for training-related expenses, if applicableEnsuring payment of all plant-related bills (water, electricity, city-related bills)Assisting in planning and scheduling meetings and eventsOther tasks related to indirect purchasingManaging and processing employee timesheets at the site level in collaboration with the payroll team (including preparing and ensuring timesheets are accurate before/or pay period ends, assisting with time tracking and reporting)Assisting the site manager with daily activitiesCollaborating with plant personnelOther duties as assigned Qualifications: QualificationsKnowledge, Skills & Abilities Strong CommunicationProficiency in Google WorkspacesEHS Awareness and CommitmentTime Management and Organizational SkillsSAP or experience with Work Order/Inventory SoftwareAction OrientationStrong Problem Solving Skills Education & ExperienceRequired Associates Degree in Business Administration or any related fieldMinimum 5 years of administrative experience in manufacturing environmentProficient in word processing, spreadsheet and database computer skills, specifically in Google platforms (Google Docs, Sheets, Slides)Must be computer literate Preferred : Degree in Business Administration or any related field8 years of administrative experience in a manufacturing environment Additional InformationAt Veolia, we realize diverse teams make smarter decisions, deliver better results, and build strongercommunities.
