TAIT's 20 global offices have developed iconic productions and experiences in over 30 countries, all seven continents, and even outer space for renowned performers, theme parks, exhibits, and venues across the globe, including partnerships with Taylor Swift, Cirque Du Soleil, Royal Opera House, Nike, NASA, Bloomberg, Google, Beyoncé, and The Olympics Position Purpose The People Operations Specialist - Global Onboarding plays a vital role in supporting the full employee lifecycle and ensuring a smooth , engaging employee experience within a dynamic, multicultural work environment. The role focuses on global onboarding, coordination of the hiring process across departments, maintaining data accuracy, and ensuring compliance with local labor laws and company policies. People Operations Specialist collaborates closely with the Talent Acquisition Team, Hiring Managers, People Business Partners and other cross-functional stakeholders. Essential Responsibilities/Accountabilities - Global Onboarding Coordinate and manage end-to-end onboarding processes for new hires across multiple countries, including communication, system setups (HRIS and ERP), and pre-employment requirements. Conduct pre-employment checks such as reference verifications , background screenings and drug tests, ensuring smooth handoffs between processes. Process background check invoices. Ensure accurate and timely data entry for global new hires in ATS , HRIS and ERP systems. Prepare and manage offer letters, emplo yment contract s , verification documents , onboarding documentation , mandatory trainings and benefits enrollment for new hires. Organize and support the new hire integration process: C oordinate onboarding activities with Hiring managers, C andidates, Talen t Acquisition team, IT department and other relevant teams. Act as an HR advisor for new employees. Create and maintain employees' personnel files , ensuring accurate and confidential HR records with strong data integrity . Administrate I -9 forms for U.S. employees and manage mandatory documentation for other global locations. Ensure HR documentation and practices comply with local labor laws and internal policies, stay informed of regulatory changes and escalate risks as necessary . Support audits and reporting requirements related to employment compliance . Contribute to the implementation of global People Department initiatives and projects as assigned. Maintain and update TAIT's internal resources related to Onboarding processes . Ensure compliance with all policies and procedures while contributing to the continuous improvement of People processes. Support the U.S. People Operations Specialist with a variety of People Operations responsibilities across the employee lifecycle. Provide basic guidance and respond to employee inquiries related to People Operations processes and policies. Participate in and contribute to a range of People Team projects and initiatives. Minimum Qualifications Bachelor's degree bachelor's degree in human resources , Business, or related field or 3 + years previous HR and administrative support experience in a medium to large corporate environment. Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced and agile environment. Excellent communication and interpersonal skills, with a customer service-oriented mindset. Strong knowledge of Microsoft Office including Word, Excel, PowerPoint . Knowledge of HRIS and ATS systems preferred. Knowledge of French is an asset .
