What You Will Do The Office Administrator/Executive Assistant serves as an integral operation and administrative partner to the executive team and to JOYRIDE. This role is equal parts office and administrative support, cross-functional coordination, and executive support. You will serve as a trusted operational and administrative partner to the executive team, keeping day-to-day office operations running smoothly while supporting cross-functional coordination and executive priorities. Office Administration and Operations: Serve as the central operational hub for the office and cross-functional internal teams, ensuring seamless day-to-day coordination and support for the executive team. Maintain and continuously improve both digital and physical filing systems, documentation, and records management practices. Provide administrative support to departments, including budget/expense tracking assistance and scheduling coordination. Facilitate clear communication around holiday schedules, SWAG, and office schedules/visits, ensuring alignment across teams and leadership. Support JOYRIDE community initiatives, including event coordination for efforts such as Day of Giving. Executive Support and Leadership Initiatives: Coordinate complex scheduling across leaders and teams, including meetings, travel logistics, and internal communications. Manage the corporate calendar and key leadership rhythms, including quarterly Board meetings, onsites, and monthly financial reviews. Support preparation of internal reports and presentations for executive and leadership audiences. Provide hands-on support for special projects and company-wide initiatives, including planning and execution support for team retreats and offsites. People Operations: Own the onboarding experience by coordinating schedules, processing required paperwork, and facilitating systems/access setup for all new hires. Maintain accurate employee records including personnel files, HR databases, and key compliance documentation. Interview scheduling and candidate coordination, serving as the primary point of contact to ensure a polished, responsive candidate experience. Plan and execute internal events and communications, including drafting company-wide announcements, tracking PTO, and producing basic HR reporting. Execute employee engagement and culture-building programs, including gifting, recognition moments (birthdays/anniversaries), and employee experience touchpoints. Brand, Field and Sales Support: Manage sample logistics end-to-end, including shipments, sales collateral, and follow-up coordination. Coordinate tradeshow logistics in support of national and regional representatives. Coordinate the build, packing, and shipping of influencer and PR boxes, ensuring timelines and brand standards are met. Qualifications: 5+ years of experience in administrative, executive support, operations coordination, or sales support-ideally within a high-growth, fast-paced environment. Demonstrated ability to coordinate multiple workstreams and stakeholders, managing shifting priorities with strong follow-through and sound judgment. Strong understanding of day-to-day business operations, with the ability to anticipate needs, spot gaps, and keep leaders and teams organized and aligned. Exceptional organizational skills and meticulous attention to detail, with a track record of building clear, reliable processes. Excellent written and verbal communication skills, with a high degree of emotional intelligence and discretion when handling sensitive internal and external information. High level of autonomy and ownership; able to operate independently while keeping key partners informed and on track. Proficiency with Microsoft Office, including creating polished, executive-ready documents and presentations and SharePoint. Comfort using collaboration and operational tools such as Slack, Monday.com (or similar project management tools), and HRIS systems.
