POSITION TITLE: Executive Assistant to the Superintendent Executive Secretary (Level 4) RESPONSIBLE TO: Superintendent of Schools JOB CLASSIFICATION: Classified 239 Day Employee-At-Will FLSA Status: Exempt QUALIFICATIONS:Education:Minimum of a high school diploma with any combination equivalent to one year college-level course work in secretarial science or related field OR three years of progressively responsible successful secretarial experience. Experience: At least three years of progressively responsible successful clerical experience. ESSENTIAL FUNCTIONS: The Executive Secretary shall be responsible for the supervision and coordination of functions and activities including executive and confidential office work directly related to the management and general business operations of the school system's office of the Superintendent. Will serve as the Superintendent's designee in handling matters of significance and must exercise discretion and independent judgment. Under the general direction of the Superintendent, performs a variety of executive and confidential office duties for the Superintendent to relieve administrator of complex and responsible details; interprets System policy and regulations to officials, agencies and the public; will serve as the Superintendent's designee in handling matters related to staff and community relations; will serve as a liaison between the Superintendent and Board of Education, state agencies and organizations; and does other related work as assigned. MAJOR DUTIES & RESPONSIBILITIES: Demonstrates prompt and regular attendance. Performs complex duties in matters of significance as executive and confidential assistant to the Superintendent, relieving the Superintendent of a wide variety of secretarial and administrative details and researching and compiling data and reporting on assigned topics. Attends regular and special Board of Education meetings; serves as the liaison between the Superintendent and the Board; performs various secretarial and administrative functions for the Board; coordinates travel plans for the Board; coordinates and prepares agendas and supporting materials; records and documents actions; prepares, reviews and distributes minutes; and maintains official record of Board of Education meetings. Leads and supports cabinet-level secretaries by providing high-level administrative coordination and executive support to cabinet-level leadership. Coordinates communications and information; obtains, interprets and provides information to officials, faculty, organizations and others concerning office functions, policies and procedures; and communicates with administrative units to assure compliance within timelines. Performs special projects and prepares various forms and reports; monitors and controls administrative details on special matters as assigned. Composes correspondence independently on a variety of matters; compiles and prepares various emails, letters, memoranda, directives, reports, meeting minutes and statistical data as directed, including confidential material; takes and transcribes confidential and general dictation; maintains Superintendent's appointment calendar; and makes travel arrangements. Receives, sorts, routes and responds to telephone calls, visitors and mail; answers questions; serves as the Superintendent's liaison for faculty, staff, administration, students and the public. Works confidentially with discretion on sensitive and private information applicable to school system and Board of Education matters. Establishes and maintains cooperative and effective working relationships with others. Demonstrates ability to independently plan, organize and complete work effectively with little direction. Establishes and maintains confidential and complex files and complies with records retention specifications. Performs budgetary duties for the Superintendent's office. Operates a variety of office equipment and machines including computer and software applications to complete work assignments. Performs other duties as may be assigned by the Superintendent. Skills, Knowledge, Abilities: Experience with a progressively responsible nature in the functions and clerical operations of an executive administrative office; Thorough knowledge of the system organization, operations, policies, administrative bulletins, applicable sections of the State Education Code and other applicable laws; Knowledge of modern business practices and procedures incorporating correct English usage, grammar, spelling, punctuation, vocabulary and mathematics; Demonstrates interpersonal skills using tact, patience and courtesy with other personnel as well as the general public demonstrating enhanced oral communication skills; The ability to independently write clear and concise memoranda, directives, or letters demonstrating enhanced written communication skills; Will serve as the Superintendent's designee in handling matters of significance and must exercise discretion and independent judgment when handling receipts and disposal of complaints, requests for information and other matters brought to the Superintendent's office.
