Job Description

Reports To: Assistant Superintendent & Chief Financial Officer Status: Full-Time (FTE 1.0), Monday - Friday, 12 months Union Affiliation: Non-Affiliated A. Office of Academics Support Provide administrative support to the Office of Academics and instructional leadership teams. Coordinate academic department meetings, materials, and follow-up documentation. Assist with academic program documentation, reporting, and data tracking. Maintain academic calendars, deadlines, and reporting timelines. Prepare correspondence, reports, and presentations related to curriculum and instruction initiatives. Support student count coordination activities and required reporting processes. Assist with School of Choice application tracking, communication, and reporting. Maintain academic office records, files, and compliance documentation. B. Finance Assistant & Grant SupportFinance Duties Assist with department and program budget tracking and monitoring. Prepare and reconcile purchase orders, invoices, and financial documentation. Support accounts payable/receivable processes as assigned. Track expenditures across general funds, categorical funds, and grant accounts. Maintain financial spreadsheets and reports for leadership review. Assist with audit preparation and documentation management. Process deposits and maintain related logs. Grant Writing & Management Research and identify grant funding opportunities aligned with district initiatives. Assist with writing, editing, and submitting grant applications. Maintain grant calendars, reporting schedules, and compliance documentation. Track grant budgets and allowable expenditures. Coordinate data collection for grant reporting and renewals. Assist program staff with grant implementation tracking and required reporting. C. Student Services & Compliance Coordination Serve as McKinney-Vento Liaison, coordinating identification, enrollment, and support services for students experiencing homelessness. Collaborate with building administrators, student services staff, and community agencies to support eligible students. Coordinate homebound services including scheduling, documentation, and communication with families and staff. Coordinate services and documentation for foster students to support enrollment stability and compliance. D. Records, Compliance & Office Operations Maintain district forms and documents aligned with administrative guidelines and compliance requirements. Maintain file and records management systems for assigned departments. Coordinate and track assigned FOIA requests (non-HR and non-Superintendent related). Maintain organizational charts, directories, and program documentation. E. General Duties Support planning and execution of district special events and program initiatives. Research and compile data and information for leadership and program staff as requested. Maintain strict confidentiality in handling student, financial, and program information. Maintain regular attendance and support occasional evening events as required. Perform other related duties as assigned.
