Facilities Operations oversees the construction, operation and maintenance of all facilities across the main campus and off-campus satellite locations. The Preventive Maintenance and Project Specialist plays a critical role in sustaining the reliability, efficiency and longevity of campus assets by managing and continuously improving the preventive maintenance program. This position ensures that all equipment is inspected and serviced at established intervals to support optimal performance, extend life-cycle value and reduce unplanned downtime. In addition, the specialist supports renovation and new construction efforts through accurate project tracking, cost reconciliation and documentation management. The role is responsible for maintaining clear, well-organized digital project files to support transparency, compliance and effective communication across departments. Standard working hours are Monday through Friday, 8:00 a.m. to 5:00 p.m., with occasional overtime as operational or project demands require. -Renovation and New Construction Project Tracking: Tracks schedules, costs and progress for renovation and new construction projects, reconciles project data and maintains organized digital records to support transparency and accountability. -Preventive Maintenance Program Management: Develops, schedules and maintains preventive maintenance for all existing and new equipment using the IDN CMMS, including roofing systems, to ensure safety, reliability and maximized asset life cycles. - Project and Asset Life Cycle Oversight: Oversees processes for adding, modifying, or removing equipment and systems, ensuring projects and service requests are properly completed, documented and closed in accordance with established procedures. - CMMS Data Integrity and Reporting: Maintains accurate asset data, maintenance histories, and reporting within the CMMS to support planning, budgeting and performance analysis. - Project Coordination and Meetings: Leads and provides updates during biweekly project meetings, communicates status, identifies risks and coordinates next steps with internal stakeholders. Also oversees monthly safety committee meeting. - Training and Process Improvement: Trains internal staff on maintenance processes, CMMS usage and asset management procedures to improve timeliness, consistency and operational efficiency. - Emergency Preparedness and Follow-up as needed.
