It started as a grassroots effort by a group of concerned parents who wanted to find support for family members aged 18 – 59 with physical and intellectual disabilities. Starting in a church basement, we have evolved into an organization serving over 4,000 lives 18 and older, with staff throughout WV. Our mission is to assist individuals with disabilities in meeting their basic needs, enhancing their quality of life, and promoting their independence while also allowing them to be active participants in the decision-making and direction of their services.SUMMARYThe Administrative Support Specialist is responsible for providing general administrative, clerical, and organizational support across departments. This role assists with daily office operations, document management, communication, scheduling, data entry, and basic operational coordination to ensure efficient and organized workflow.The position requires strong organizational skills, attention to detail, professionalism, and the ability to maintain confidentiality.ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:The following duties are representative of the position. Additional duties may be assigned as needed: Provide general administrative and clerical support to multiple departmentsAnswer and direct phone calls, take messages, and respond to inquiriesSchedule meetings and appointments as directedPrepare, organize, scan, copy, file, and distribute documents and correspondenceMaintain and update paper and electronic filing systemsPerform data entry and maintain databases and spreadsheetsAssist with reports, mailings, packets, and internal communicationsRetrieve records and documentation for staff as neededMonitor and maintain office supplies and assist with inventory trackingSupport billing, tracking, or documentation processes as assignedAssist with maintaining compliance documentation and internal recordsCoordinate basic office logistics, including equipment and vendor communication as neededOperate standard office equipment (copiers, scanners, fax machines, computers)Maintain confidentiality of sensitive information in accordance with agency policiesAssist with general office organization and day-to-day operational needsPerform other duties as assigned by the supervisor Knowledge, Skills, and Abilities: Strong organizational and time-management skillsAttention to detail and accuracyEffective verbal and written communication skillsAbility to multitask and prioritize workProfessional demeanor and customer service skillsAbility to work independently and as part of a teamBasic troubleshooting skills for common office equipmentAbility to maintain confidentiality and handle sensitive informationDependable and adaptable in a fast-paced environment Qualifications: High School Diploma or GED requiredPrevious clerical, administrative, or office experience preferredBasic computer proficiency (Microsoft Office and/or Google Workspace)Ability to pass required background clearances in accordance with agency policyValid Driver's License preferred Physical Demands: Ability to sit, stand, walk, and reach with hands and armsAbility to use hands and fingers for keyboarding and document handlingAbility to lift up to 25 poundsAbility to communicate clearly both verbally and in writingAbility to manage multiple tasks and occasional high-stress situations Reasonable accommodations may be made to enable individuals with disabilities to perform essential job functions.Work Environment: Office setting with minimal to moderate noise levelsOccasional exposure to outdoor weather conditionsShared workspace environment Employment is contingent on the successful completion of the following clearances PA State Police Background Check (e-PATCH) Child Abuse Clearance FBI Background Check MA Fraud Check Social Security Verification DMV Check
