What You'll Do: As a Seasonal Administrative Operations Assistant, you will play a vital role in supporting district operations, recruitment efforts, and general administrative functions essential to our offices' effectiveness. Your daily responsibilities include: Providing recruitment assistance within the H&R Block applicant tracking system and supporting the District Operations Coordinator (DOC) across various office locations. Offering hands-on support to Tax Office Associates with Preparer Tax Identification Number (PTIN) renewal and payment processes. Managing incoming communication regarding supply needs, facility concerns, and operational support, documenting issues, researching solutions, or escalating to the appropriate personnel. Coordinating with DOCs, District General Managers (DGMs), and field associates on administrative tasks. Identifying local vendors for facility-related needs and managing the payment approval process. Reviewing and verifying invoices to prepare payment requests using Coupa or corporate credit cards for DOC's approval. Maintaining proficiency with Microsoft Teams and Suite applications, as well as other relevant internal systems. Participating in training to enhance your skills and job performance. Performing additional tasks as assigned by the DOC or in collaboration with the Company Support Manager (CSM). What You'll Bring to the Team: Education: High school diploma or equivalent Experience: Excellent communication skills, with the ability to interact calmly and effectively through phone, email, and chat, particularly under pressure. Ability to work independently with minimal supervision. Previous customer service experience. Strong decision-making, analytical, and problem-solving abilities. Demonstrated organizational, prioritization, and project coordination skills. Effective oral, written, and interpersonal communication skills. Proficient time management and organizational abilities to handle multiple priorities. Some familiarity with Windows operating systems. Willingness to learn about Microsoft OS support, networking, peripheral equipment, software applications, and remote tools. It Would Be Even Better If You Also Had: Experience: 1-3 years of administrative experience.
