Job Description BAE Systems, Inc. Space and Mission Sector (SMS) is seeking an experienced administrative professional that is organized, collaborative, detail oriented with excellent communication skills to be the primary administrative support to the Vice President and General Manager (VPGM) of the Military Space (MS) Strategic Business Unit (SBU). This position will act as the administrative focal point for MS VPGM and will be responsible for providing specialized administrative support for a variety of duties and tasks, as well as day-to-day coordination of schedules and travel. In this role, you will work on assignments that are complex in nature where independent action and a high degree of initiative are required in resolving problems and developing recommendations. This role is in-person, reports directly to the VPGM, requires a current TS/SCI clearance and is based in Broomfield, CO. The MS VPGM leads the MS SBU within the Space Systems organization of the Space & Mission Systems (SMS) sector and is responsible for meeting MS customer needs and BAE company commitments. The Military Space Strategic Business Unit works with the Department of War to deliver space systems that drive mission success and provide resilient mission-level solutions to meet the customer's greatest challenges. What You'll Do: Complete a wide variety of administrative actions such as managing complex calendar coordination and meeting logistics, written document drafting, extensive travel arranging, accounting reconciliation/expense reporting, event planning and organize catering. Work closely with the MS leadership team, other SBU leadership teams and local support staff to support smooth day-to-day operations of the office. Professional interaction with senior level internal and external stakeholders in support of the Executive's and the organization's objectives. Maintain complete confidentiality and be aware of topics/projects which are sensitive or proprietary information. Communicate and interpret the Executive's decisions and views, while maintaining excellent internal relationships with other administrative staff and direct reports. Demonstrate sensitivity to time and resource constraints of all leaders and their administrative teams. Partner closely with the other members of the Executive Assistant team from different time zones. Demonstrate competency in the following areas: informing, problem solving, priority setting, organizational agility, written communications, approachability, professionalism and customer service. Develop documents in support of the VP and his staff. Draft correspondence and memoranda for the VP, as needed, maintain and track meeting action items through completion. Coordinate and plan all requested company travel and process respective expense reports staying within policy. Greet outside executive visitors and coordinate security access for them. Work with sensitive and confidential information and situations, requiring the employee to handle situations appropriately, and maintain proper confidentiality. Serve as a role model, as well as a mentor, to junior-level administrative employees by providing direction and acting as a resource to resolve questions and difficult situations in a collaborative environment. Maintain a regular and predictable work schedule. Establish and maintain effective working relationships within the department, the Strategic Business Units, Strategic Capabilities Units and the Company. Interact appropriately with others in order to maintain a positive and productive work environment. Perform other duties as necessary. On-Site Work Environment: This position requires regular in-person engagement by working on-site five days each normally scheduled week in the primary work location. Travel and local commute between company campuses and other possible non-company locations may be required. Working Conditions: Work is performed in an office environment, laboratory, cleanroom, or production floor. Required Skills and EducationHigh School diploma or equivalent plus 4 years or more related experience. Each higher-level related degree, i.e., Bachelor's or Master's, may substitute for two years of related experience. Degree must be from a university, college, or school which is accredited by an agency recognized by the US Secretary of Education, US Department of Education. A current, active TS/SCI security clearance is required. Excellent administrative skills. Heavy calendar management skills and meeting logistics, combined with the ability to sort the urgent from the non-urgent, to anticipate changes, and to respond in a dynamic environment. Ability to complete complex travel and expense reports in a timely manner. Ability to develop creative solutions to tough problems. Highest integrity, humility, and transparency. Ability to act with urgency and demonstrate an openness to new ideas and be comfortable with a fast-paced, rapidly changing environment. Ability to be a team player in a close-knit office environment, supporting geographically distributed direct reports, Executive Team and Exec Team EAs. Excellent listening and communication skills. Skilled in delivering feedback and keeping confidences, and the maturity to know when to employ either. Demonstrated project and event planning experience, achieving the vision of the event within cost and schedule. Ability to work with considerable independence and as part of the team.
