Position Overview The Executive Support Partner is a trusted, strategic, and relationship-centered partner to the Interim Executive Director. This role is designed to support executive flow, organizational clarity, and project momentum through a justice-rooted, trauma-informed, and decolonized lens. Unlike a traditional executive assistant role, this position emphasizes partnership over hierarchy. The Executive Support Partner works closely with the Interim Executive Director to manage priorities, projects, and systems while holding confidentiality, discernment, and accountability with care. This is a part-time, hybrid, contractual role intended to provide high-level executive support without full integration into day-to-day staff operations. Work Structure & Expectations Primarily remote work Required in-person presence one day per week for project-based work, planning, or time-sensitive needs Clear and consistent availability must be reflected on a shared calendar Must be responsive during agreed-upon working hours Flexibility required to meet evolving organizational needs (occasional evenings may be requested with notice) Rootead will provide: - A Rootead-issued laptop - A Rootead email address - Access to necessary systems and platforms Key ResponsibilitiesExecutive & Administrative Partnership Serve as a thought partner and administrative anchor to the Interim Executive Director Manage executive calendar, scheduling, and prioritization with clarity and boundaries Prepare agendas, briefing materials, talking points, and follow-up summaries Track action items, deadlines, and deliverables to support executive accountability Support executive communications (internal and external) as requested Project & Operations Support Provide project coordination support across high-priority initiatives Create and maintain systems for tracking tasks, timelines, and documentation Support preparation for board meetings, leadership meetings, and key convenings Assist with drafting, organizing, and maintaining internal documents and files Support special projects as assigned, with clear scope and timelines Confidentiality & Trust Stewardship Handle sensitive executive, organizational, HR-adjacent, and financial information with discretion Maintain strict confidentiality and data integrity at all times Follow Rootead policies related to data protection, document storage, and information security Communication & Coordination Serve as a point of coordination (not management) between the Interim Executive Director and key stakeholders as needed Draft professional, values-aligned correspondence and documentation Ensure clarity, follow-through, and respectful communication across interactions Skills & Core Competencies Strong organizational and time-management skills Ability to manage multiple priorities with care and precision Excellent written and verbal communication skills High emotional intelligence and discernment Ability to work independently with minimal supervision Strong attention to detail and follow-through Comfort working in values-driven, justice-centered nonprofit environments Proficiency with Google Workspace and/or Microsoft Office tools Experience using shared calendars, project management tools, and cloud-based systems Values Alignment The ideal candidate demonstrates: Commitment to social justice, equity, and collective care Understanding of decolonized and trauma-informed ways of working Respect for boundaries, clarity, and accountability An abundant, solutions-oriented mindset - Integrity, discretion, and relational awareness Experience & Qualifications 3-5 years of experience in executive support, operations, administration, or project coordination Experience supporting senior leadership preferred Nonprofit or movement-based organization experience strongly preferred Education may be formal or lived; alignment and competence are prioritized Job Types: Part-time, Contract Work Location: Hybrid remote in Kalamazoo, MI
