SUMMARY OF POSITION: Performs the daily functions of the Mailroom and Student Development and Success through a courteous, helpful, unbiased and professional manner.ESSENTIAL DUTIES/ NON-ESSENTIAL DUTIES AND RESPONSIBILITIES:Mail Room (50%) Sort and distribute U.S. mail dailyHelp prepare student boxes for each new yearDeliver and pick up mail from all offices and some faculty using a campus golf cartMeter mail for all offices and departmentsShip and receive USPS, UPS, and Fed Ex packages/sort packages and scan inDistribute flyers to each student, faculty, and staff box for special events, club meetings, etc.Sell stamps and help students, faculty, and staff with mailing packagesForward mail for withdrawn or graduated students throughout the year and for returning students during the summerCompliance with the College's Service Expectations Dean of Students (50%) Answer incoming calls, screening when possible Assist with scheduling appointments and meetings for the DeanMaintain records and student data using Jenzabar modulesProcess check requests, petty cash forms, and departmental requisitions for the DivisionBe responsive to questions related to campus events and student organizationsProcess work orders as needed to support programming effortsPurchase and maintain supplies for support of the officeAssist with student workers and task assignmentsMust have good communication skillsMust be energetic and able to handle multiple tasks with easeAssist Dean of Students in reviewing Change of Status requests and housing status during the enrollment processCreate and distribute announcements and important information relating to the division on multiple platforms (Daily Announcements, Screencloud, Canvas) Minimum qualifications: High School Diploma required2+ years experience in office administration Preferred qualifications: Bachelor's degree2+ years experience working in higher education or student affairs Knowledge/Skills/Abilities Able to supervise student workersMust have good communication skillsMust be energetic and able to handle multiple tasks with easePostal experience preferredAbility to stand for long periods of timeAbility to handle multiple tasksWorking knowledge of Microsoft Office software: Word, Excel, PowerPointWorking knowledge of Google applications Well-grounded philosophy of honesty, integrity and respectDemonstrated ability to establish and maintain effective working relationships with various constituents including both internal to the organization and with the publicAbility to work with and engage a diverse group of peopleAbility to work independently yet value and support a team-based environmentDemonstrated professionalism and positive attitude GUIDELINES AND SUPERVISION: This joint position will report to the respective supervisors in the area of Students and mailroom. For the mailroom this position will report to the mail room manager and in the student area this position will report to the Dean of students. This position should be able to work autonomously with limited supervision. The position requires the use of sound judgment and the ability to work both independently with oversight of the supervisors.
