Job Title: Receptionist / Administrative Assistant Location: Austin, TX Duration: 6 Months Schedule: (Part-Time) Monday - Friday, 7:30 AM - 2:00 PM (1st Shift) Work Type: 100% On-Site Pay Rate: $18-$19 on W2 per/hr. About the Role We're looking for a polished, friendly, and highly organized Receptionist / Administrative Assistant to be the welcoming face of our Austin office. In this role, you'll manage front-desk operations, support staff with administrative tasks, and ensure our office runs smoothly. This is a part-time, on-site position ideal for someone who thrives in a dynamic professional environment and enjoys providing exceptional service. What You'll Do Be the first point of contact for visitors, greeting them with professionalism and warmth. Check visitors in and out using the eWelcome system and issue visitor badges. Manage badge processes: mail badges to new hires or remote employees and provide weekly badge reports to the Security Manager. Handle incoming deliveries and notify recipients promptly. Answer, screen, and direct incoming phone calls professionally. Maintain visitor logs and issue visitor passes when needed. Process incoming and outgoing mail and shipments, including creating FedEx labels for employees. Perform general administrative tasks: filing, data entry, document preparation, and maintaining office supplies. Support meetings and events, including coordinating lunch orders, dinner reservations, and room setups. Update employee email distribution lists and ensure accurate communication. Check conference rooms daily to prevent scheduling conflicts. Report facility issues via the ticket system (CBRE). Keep the reception area clean, organized, and welcoming at all times. Who You Are High school diploma or equivalent (Associate degree preferred). Experienced in receptionist, front desk, or administrative roles. Proficient with Microsoft Office Suite (Word, Excel, Outlook). Strong communicator with excellent verbal and written skills. Highly organized, detail-oriented, and able to manage multiple tasks simultaneously. Professional, approachable, and polished in appearance and demeanor. Trustworthy and able to handle confidential information with discretion. Customer service-oriented with a positive, can-do attitude.
