Essential Job Duties ESSENTIAL DUTIES AND RESPONSIBILITIES: Note: All City of Fayetteville positions require employees to provide good customer service to both internal and external customers, maintain positive and effective working relationships with other City employees (especially members of their own team), and have regular and reliable attendance that is non-disruptive. Other essential duties of this position include the following: 1. Perform advanced administrative and clerical support functions for the Mayor's Office. 2. Process and maintain records related to purchase orders, P-card transactions, budget adjustments, journal entries, invoices, check requests, and reimbursements in accordance with City policies and procedures. 3. Coordinate and manage travel arrangements, including accounting and record-keeping functions, for staff within the Mayor's Office. 4. Receive, research, and respond to complex or sensitive citizen complaints; ensure appropriate follow-up and document complaints within the City's complaint management system. 5. Use judgment, tact, and discretion when receiving and routing visitors and telephone calls to the appropriate department, division, or individual. 6. Maintain current knowledge of City projects, services, issues, and community events in order to provide accurate information to callers and visitors. 7. Serve as a public contact for the Mayor's Office for residents, responding to inquiries with clear, concise, accurate, and consistent information; exercise sound judgment and discretion to ensure communications reflect the Mayor's Office priorities, policies, and commitment to professional, respectful public service. 8. Provide calendar management and meeting coordination for staff within the Mayor's Office. 9. Prepare, compose, type, edit, and distribute letters, memoranda, correspondence, and other materials for the Mayor's Office staff. 10. Receive, sort, and distribute incoming and outgoing mail for the Mayor's Office. 11. Develop, maintain, and organize filing and record-keeping systems for department directors in compliance with records retention requirements. 12. Purchase or assist with the purchase of office supplies and minor equipment for the Mayor's Office staff. 13. Coordinate with the City Clerk's Office to provide current agenda and meeting information related to City Council meetings, committees, and commissions to department directors and staff. 14. Handle sensitive information with discretion and professionalism, referring confidential matters to appropriate staff. 15. Perform other duties as assigned. Secondary Job DutiesSecondary duties as assigned. 1. High School diploma and six years of related experience, or an Associate degree in Office Administration or related field with four years of related experience. 2. Must successfully pass criminal background check, including but not limited to convictions, guilty pleas, or no contest pleas to violent offenses, theft offenses and any offense under A.C.A. §21-15-103 and A.C.A. § 21-15-111. 3. Effectively communicate with others orally and in writing. 4. Must be proficient in the use of a computer and related software programs such as Microsoft Office Suite. Must be able to effectively operate standard office equipment. 5. Must be able to become proficient in the use of other applications including the City's website content management system and complaint management system. 6. While performing the functions of this job, the employee is regularly required to effectively communicate in person and on the phone. The employee regularly is required to stand, walk, and sit; use hands to finger, handle, or feel; reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. 7. Must possess the ability to work effectively in an office environment that includes receiving walk-in traffic and phone calls.
