DEPARTMENT: School-Based GRADE: Grade 61 of the State Salary Scale for Classified Employees FLSA: Non-Exempt REPORTS TO: Principal; Takes direction from the Finance Department SUPERVISES: None TERMS OF EMPLOYMENT: 12 months QUALIFICATIONS: Associate's Degree or Vocational Training from an accredited institution in Accounting, Bookkeeping, Finance, or other related area. At least two (2) years of experience in performing secretarial and/or bookkeeping work. (Preference given to candidates with such experience in a public school setting.) Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities. KNOWLEDGE, SKILLS, AND ABILITIES: Working knowledge of computer systems, terminology, and peripheral equipment. Proficiency in common business software applications, including word processing, spreadsheets, and database/file management systems. Considerable knowledge of the district's Student Information System (SIS), electronic gradebook, and student records maintained at the school level. General knowledge of school office organization and administrative procedures. Ability to prepare and process forms, correspondence, reports, and records accurately and efficiently. Ability to maintain complete and accurate records and generate standard and customized reports. Ability to troubleshoot routine hardware and software issues and perform basic equipment maintenance. Ability to understand and follow oral and written instructions. Ability to communicate effectively and respond to inquiries based on knowledge of school operations. Ability to establish and maintain effective working relationships with staff, students, parents, and administrators. NATURE OF WORK: Under general supervision, the School Treasurer & Student Data Manager performs a variety of moderate to complex support functions for the school. Work involves independently preparing routing correspondence, compiling information for reports, maintaining computer-based accounting and student information systems and performing technical accounts payable functions. Employee is also responsible for maintain school-related files of a variety of records, reports, documents, and correspondence and assimilating information from a variety of sources to compose letters, reports and provide information data. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. This list is meant to be representative, not exhaustive. General Responsibilities Serves as the primary office contact by managing calls, visitors, email, and correspondence; provides information regarding school procedures and route communications appropriately. Provides administrative support to staff and administrators. Manages office operations including mail distribution, supply inventory, purchase requisitions, equipment service coordination, and required reports. Maintains records related to student accidents, insurance claims, and other general office documentation. Participates in committees, meetings, and professional development as appropriate. Performs other such tasks as assigned by the supervisor. School Treasurer Responsibilities Maintains employee leave records in the district system and assists staff with leave tracking as needed.Manages a multi-fund accounting system using the district's financial management software. Receives, verifies, and receipts all school-related collections in accordance with district procedures. Prepares and reconciles daily bank deposits. Issues purchase orders for school funds and verifies invoices for payment. Processes accounts payable transactions and maintains supporting documentation for audit purposes. Enters and reconciles financial transactions in the accounting system. Generates required monthly and year-end financial reports, including cash flow, balance, and revenue/expenditure statements. Ensures all school funds are received, disbursed, and documented in compliance with district, state, and audit guidelines. Student Data Manager Responsibilities Manages all student information within the Student Information System (SIS), including enrollment, withdrawals, demographics, attendance, grades, discipline, exceptional children (EC) records, and assessment data. Develops and maintains the master schedule and student schedules; support administrators with advanced scheduling analysis and conflict resolution. Generates and submits required reports to school administrators, district leadership, and the Department of Public Instruction (DPI). Analyzes and reconciles data discrepancies across systems. Provides technical support for the SIS and electronic gradebook; troubleshoots basic hardware/software issues and coordinates with the Technology Department. Maintains data security, system integrity, backups, and user access controls in accordance with district policy. Work in this classification is considered light physical work requiring the exertion of up to 20 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects. Must be able to communicate effectively and efficiently in standard English. Numerical Aptitude: Requires the ability to utilize mathematical formulas; to add and subtract; to multiply and divide; and to utilize decimals and percentages. Form/Spatial Aptitude: Requires the ability to inspect items for proper length, width and shape. Motor Coordination: Requires the ability to coordinate hands and eyes rapidly and accurately in using office equipment. Manual Dexterity: Requires the ability to handle a variety of office machines, etc. Must have minimal levels of eye/hand/foot coordination. Color Discrimination: Requires the ability to differentiate between colors and shades of color. Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress and when confronted with persons acting under stress. Physical Communication: Requires the ability to talk and hear: (Talking: expressing or exchanging ideas by means of spoken words. Hearing: perceiving nature of sounds by ear).
