Job Description:Position Summary The Health & Safety Coordinator is responsible for supporting the effective implementation of the company's Health and Safety programs and ensuring compliance with all applicable regulatory and organizational requirements. This position provides administrative coordination for incident management, documentation, reporting, and continuous improvement initiatives. The role assists in the administration of the company's Quality, Health, Safety, and Environmental (QHSE) Management System and contributes to maintaining a safe, healthy, and compliant work environment. The Health & Safety Coordinator works closely with project teams, supervisors, and management to support safety-related communication, maintain required documentation, coordinate training activities, and assist with the review and reporting of health and safety performance. This position serves as an internal resource for health and safety information, helping promote a positive safety culture throughout the organization while ensuring that all administrative safety processes are managed accurately, efficiently, and in accordance with company policies and procedures. Primary Duties and Responsibilities Provide clear and effective verbal and written communication, including the preparation and distribution of detailed health and safety reports. Support the documentation, tracking, and statistical reporting requirements needed for regulatory compliance with all applicable Health & Safety (HS) regulations. Maintain and administer HS management systems in alignment with company policies and procedures. Coordinate HS training programs, track employee training requirements, and assist in the development of annual safety plans in partnership with leadership. Assist in conducting administrative reviews of risk assessments, safety audits, and compliance documentation. Support the resolution and closure of identified HS deficiencies. Provide administrative support to leadership regarding HS risk management issues and participate in proactive risk-reduction efforts. Serve as an HS administrative resource by helping educate, advise, and support management and personnel regarding relevant safety legislation and internal requirements. Manage, review, and update HS-related documentation, including the Site-Specific Safety Management Plan, Security Management Plan, Training Plan, Hurricane Plan, and other plans referenced in operational procedures. Assist in preparing HS Incident Alerts, safety updates, and information used for toolbox talks or internal communications. Provide administrative support in the preparation and organization of Job Hazard Analyses (JHAs), Pre-START forms, and other safety documentation. Coordinate monthly safety meetings, maintain documentation for the Safety Committee, and support the incident/close-call review and reporting process. Deliver administrative components of HS orientations, including scheduling, recordkeeping, and distributing required materials. Assist with the administration and reporting of Hazard IDs, Job Safety Observations, Critical and Operational Process Confirmations, and HS compliance reviews. Ensure timely entry and reporting of all incidents or close calls per company procedures. Maintain and update the HS Hazard Register in collaboration with management. Support administrative processes related to safety evaluations for project vehicles, equipment, and systems. Work with project management to document HS solutions and monitor corrective actions to completion. Assist management in fulfilling HS obligations related to contract requirements. Support additional HS-related administrative tasks as assigned by management. Assist in identifying HS non-conformities within administrative processes and support corrective/preventive action tracking. Verify and document implementation of approved corrective actions. Contribute to continuous improvement initiatives through collaboration and administrative support. Promote a positive health and safety culture within the office and organization. Contribute to an inclusive, respectful, and harassment-free work environment. Perform all duties in alignment with company policies and procedures. Complete work in a safe, efficient, and accurate manner, always prioritizing safety. Perform other administrative duties as assigned. Knowledge, Skills & Abilities Knowledge Knowledge of general Health & Safety (HS) regulations, standards, and best practices, including incident management processes, emergency response protocols, hazard identification principles, and regulatory compliance requirements. Understanding of Quality, Health, Safety, and Environmental (QHSE) management systems and their administrative components, including documentation control, recordkeeping, reporting, and corrective action tracking. Familiarity with workplace safety policies, risk assessment methodologies, training program administration, and incident/close-call documentation procedures. Working knowledge of administrative processes that support safety planning, safety communication, and organizational safety culture initiatives. Skills Strong organizational, planning, and coordination skills, with the ability to manage multiple administrative priorities and maintain accuracy in documentation. Excellent verbal and written communication skills, with the ability to prepare clear reports, correspondence, safety alerts, and compliance documentation. Effective problem-solving abilities and sound judgment when assisting with safety reviews, incident reporting, and compliance-related tasks. Ability to collaborate effectively with all levels of leadership, employees, subcontractors, and stakeholders in support of company safety programs. Proficiency with computer systems and office software, including the Microsoft Office Suite and other digital tools used for data tracking, reporting, and documentation management. Abilities Ability to work in a fast-paced environment and adapt to changing priorities within the health and safety administrative function. Strong attention to detail with a high sense of safety awareness and the ability to recognize potential administrative indicators of hazards, compliance gaps, or process deficiencies. Ability to support clear communication of safety-related instructions, policies, and procedures to employees and management. Ability to maintain a customer-service oriented attitude when supporting internal teams and responding to organizational needs related to health and safety. Ability to promote and contribute to a positive safety culture, continuous improvement efforts, and an inclusive, respectful work environment. Education and Experience Bachelor's Degree or higher degree in related degree (preferred); or degree can be substituted for equivalent work experience and technical expertise in Health and Safety Management and reporting. Valid Driver's License with good driving record (required) A minimum of 2 years' safety associated experience High level of computer skills, including Excel, Word and PowerPoint. Work Conditions/Physical Demands Must be able to think clearly and focus on your safety in your immediate surroundings, while using tools and equipment, while driving or operating equipment. Will be required to wear Personal Protective Equipment (PPE) appropriate to your job. As a supervisor, you are required to lead by example; encourage co-workers and supervised employees to correctly use PPE; follow proper safety rules of conduct, take appropriate corrective actions, including the initiation of disciplinary action to enforce the use and observance of PPE and safety rules within your area of supervised responsibility.
