The ideal candidate will have a strong background in commercial real estate, exceptional contract drafting skills, and a meticulous approach to tracking critical lease dates and obligations. You will serve as the primary liaison between our development team, property managers, brokers, tenants, and outside counsel. Key Roles / Responsibilities: Draft, review, and edit commercial lease agreements, letters of intent (LOIs), lease amendments, assignments, subleases, and license agreements, under the supervision of our in-house attorneys. Assist in preparing and processing Subordination, Non-Disturbance, and Attornment Agreements (SNDAs), Estoppel Certificates, and tenant welcome letters. Assist our legal team in ensuring all lease documents comply with company standards, state laws, and landlord requirements. Assist in creating and updating standard lease templates and clauses. Serve as the primary administrator for the company’s lease tracking software (e.g., Yardi, MRI, VTS). Abstract new leases and amendments accurately into the database to ensure rent rolls are up to date. Proactively track and report on critical dates, including lease expirations, renewal option deadlines, rent escalations, and termination rights. Audit lease files to ensure all fully executed documents, insurance certificates, and letters of credit/security deposits are properly organized and stored. Collaborate with the leasing team, property managers, and accounting departments to resolve tenant disputes and clarify lease interpretations. Coordinate with outside counsel and escrow/title companies regarding property acquisitions, dispositions, and financing as it relates to tenant leases. Assist in the preparation of legal notices to tenants, including notices of default and late fee assessments. Required Education, Experience, and Qualifications:Bachelor’s degree and/or Paralegal Certificate from an ABA-approved program. Minimum of 3–5 years of paralegal experience, specifically focused on commercial real estate and commercial leasing. Proficiency in lease administration software (e.g., Yardi, MRI) and Microsoft Office Suite (Word, Excel, Outlook, SharePoint). Strong understanding of commercial real estate terminology, lease structures (NNN, Gross, Modified Gross), and contract law. Exceptional attention to detail, strong analytical capabilities, and the ability to manage multiple deadlines in a fast-paced environment. Excellent written and verbal communication skills. Working Conditions: Prolonged periods sitting at a desk and working on a computer. Must be able to lift 15 pounds at times. Positions self to install equipment, including under desks. Moves throughout the building to access files. Must be able to comprehend and follow written and oral instructions. Must be able to complete tasks even with frequent interruptions. Must be able to use discretion and independent judgment as needed.
