Administrative Assistant – Tampa, FLPosition Summary The Fleet and Compliance Manager at Wurth Wood Group is responsible for overseeing the company’s fleet operations, ensuring regulatory compliance across environmental, transportation, and safety standards, and managing related administrative functions. This role serves as a centralized point of contact for duties previously distributed between HR and Operations, streamlining processes to enhance efficiency, safety, and compliance in a multi-site environment with 18 warehouse locations. Essential Duties & ResponsibilitiesFleet Management: Oversee all delivery vehicles, including negotiating and managing lease contracts, maintaining relationships with Penske (fleet provider), and coordinating maintenance, repairs, and asset tracking to ensure optimal fleet performance and cost-effectiveness. Vehicle Safety Systems: Manage the installation, monitoring, and maintenance of Lytx safety cameras on trucks, analyzing data to improve driver safety, reduce incidents, and support training initiatives. Environmental Compliance: Handle EPA requirements and processes for all 18 warehouse locations, including hazmat management related to paint and stain tinting, waste disposal, reporting, and audits to ensure adherence to federal and state environmental regulations. Transportation Regulations: Ensure company-wide compliance with DOT and FMCSA standards, including vehicle inspections, hours-of-service tracking, and regulatory filings. Driver Qualification and Records: Maintain and audit Driver Qualification (DQ) files for all drivers, verifying credentials, conducting background checks, and ensuring ongoing compliance with hiring and retention standards. Safety Programs: Lead OSHA-compliant safety initiatives and programs, including risk assessments, training, incident reporting, and workplace safety audits to foster a culture of safety across operations. Administrative Consolidation: Act as the primary administrator for cross-departmental duties related to fleet, compliance, and safety, including policy development, documentation, vendor coordination, and process improvements to reduce redundancies between HR and Operations. Reporting and Analysis: Prepare reports on fleet performance, compliance metrics, and safety trends; identify areas for improvement and implement corrective actions. Collaboration: Work closely with HR, Operations, warehouse managers, and external vendors to align on best practices and resolve issues promptly. Education and Work ExperienceBachelor’s degree in Business Administration, Logistics, Environmental Science, or a related field (or equivalent experience). 5+ years of experience in fleet management, regulatory compliance, or safety administration, preferably in a manufacturing or distribution environment with hazmat involvement. Strong knowledge of EPA, DOT, FMCSA, and OSHA regulations. Experience with fleet telematics systems (e.g., Lytx) and vendor management (e.g., Penske). Excellent organizational and communication skills, with the ability to handle multiple priorities in a fast-paced setting. Proficiency in Microsoft Office Suite and compliance tracking software. Certification in safety or transportation management (e.g., CDS, CSP) is a plus.
