Non-exempt; part-time; 18 hours per week; varied hours during regular FCPL operating schedule; participation in the Maryland State Retirement and Pension System This position provides clerical support to the FCPL Community Engagement department. In addition, this position will provide logistical support for large system-wide events and outreach opportunities; and perform various clerical office tasks. A significant amount of public contact is involved. Supervision is received from Community Engagement Manager. ESSENTIAL DUTIES AND JOB RESPONSIBILITIESAssist with coordination of logistical matters related to system-wide events (e.g., Frederick Reads, Frederick Speaker Series, Spelling Bee) and/or outreach opportunities, including assistance with scheduling of Community Engagement vehicles and outreach equipment Work as part of a team at system-wide events and outreach opportunities by promoting library resources, services, and materials Receive telephone calls and email communications related to events coordination and general inquiries; determine the nature of each inquiry or visit; assist when possible; refer to other department staff, library departments or agencies as appropriate Respond to routine correspondence inquiries as directed Work with vendors to purchase and distribute outreach materials Perform general office support and other related duties as assigned To perform this job successfully, an employee must be able to perform all essential functions satisfactorily. High school graduation or the equivalent Minimum 6 months of clerical experience (any combination of work, internship or volunteer) working directly with the public, e.g., customer service, client support or public relations work Basic Microsoft Office 365 skills ADDITIONAL REQUIREMENTS: Employees in this classification are designated as Non-Essential. Essential Employees are required to report to work in the event of a weather incident, general emergency, or disasters when County offices are closed. They may be required to work overtime with little or no advance notice and may be required to report to work in emergency situations and/or after hours. KNOWLEDGE, SKILLS AND ABILITIES: Strong and effective spoken and written (English) communication skills Ability to coordinate and carry out logistical tasks related to large/special events Ability to effectively access and utilize word processing, e-mail, spreadsheet, publishing software, virtual meeting, and other systems and equipment, and to learn new software as it is acquired Strong organization skills with the ability to work independently and meet tight deadlines Ability to coordinate multiple tasks and work on more than one event at a time Ability to keep accurate records Ability to work with sensitive information and maintain appropriate confidentiality Ability to develop and maintain effective working relationships with co-workers, other County agencies, vendors and the general public PREFERENCE MAY BE GIVEN FOR: Additional clerical experience, customer service, client support or public relations work Experience using a scheduling software Current Frederick County Public Library Employee PHYSICAL REQUIREMENTS / WORKING CONDITIONS: While working in this position, the employee is required to frequently sit and walk; rarely lift up to 20 pounds, push up to 40 pounds, and pull up to 40 pounds. While working in this position, the employee is required to consistently work indoors and occasionally work outdoors.
