YMCA OF GREATER CLEVELAND JOB DESCRIPTION TITLE: Clinical Administrator SUPERVISOR: Clinical Director INCUMBENT: DEPARTMENT: Y-Haven Resident Services FLSA: EXEMPT BRANCH: 31, 34, 37, 38, 39 POINTS: SUPERVISES: EFFECTIVE DATE: 3/1/2025 DATE REPLACED: General Function: The Y-Haven Clinical Administrator will oversee administrative duties essential for successfully implementing Y-Haven's Residential Treatment program and other clinical services. The Clinical Administrator will ensure all Residential Treatment and other clinical services are documented and reported, including providing meals to participants, and 30 hours of documented clinical and non-clinical services each week to each participant. Responsibilities will include coordinating with third-party Meal Provider and with Peer Support Providers, Managing Treatment Group Schedules, Overseeing Residential Room Assignment, learning and assuming administrative management of Y-Haven's Electronic Medical Record. Principal Activities: 1. Treatment Group Schedule: Assume daily management of group treatment schedule ensuring each of 15 daily group meetings is staffed. Communicate schedule changes to staff and participants. 2. Catering: Oversee catering program for Residential Treatment participants including working with 3rd party caterer, managing equipment and supplies, invoicing, oversee food serving activities, menus, food delivery, special diets, quality control, food safety, program evaluation, complaints, etc. Ensure meal program meets all guidelines and laws set by local and state governing bodies. 3. Peer Support Services: Develop and oversee collaboration with 3rd party provider of Peer Support Services assuring RT participants have ready access to quality peer support. 4. 30 Hours of Weekly Service: Working with Y-Haven leadership and staff, document that Residential Treatment participants are offered at least 30 hours of clinical and non-clinical services weekly. 5. Resident Rooms: Oversee placement of new Y-Haven clients in a Y-Haven apartment assuring rooms have been made ready for occupancy (cleanliness/supplies), key coding, etc. 6. Electronic Medical Record: Learn and assume management of Y-Haven's Electronic Medical Record. Y-Haven uses the Foothold "AWARDS" software. 7. Reporting: Build Forms and Create Reports in Y-Haven Electronic Medical Record. Reports include: documentation of 30 hours of weekly Residential Treatment Services, MAT services, Food, program completion rate, client satisfaction, etc. 8. Billing support: Assure 3rd party insurance biller has information required to successfully bill insurance for services provided. QUALIFICATIONS: 1. 2 years' experience in administrative/clerical management. 2. Bachelor's degree. 3. High proficiency in Microsoft office and other business software. 4. Demonstrated sound judgement when seeking additional supervision. 5. Excellent customer service and communication skills. 6. Ability to perform multiple tasks successfully. Maintain a clean and orderly work environment. 5. Secure required trainings and/or certifications necessary for the position. 6. Treat all residents, staff and visitors with dignity and respect. 7. Other duties as assigned by supervisor. Physical Requirements: The employee is expected to meet the physical requirements of the position, which may include, a frequent amount of sitting, standing and walking, reaching, stooping, kneeling, and bending. General Requirements: Must be able to read and write legibly and in an understandable manner. Must be able to effectively communicate with and observe program participants, members and YMCA staff. Work Environment: The noise level in the work environment is usually moderate to noisy. May be required to work outside and on occasion may encounter inclement weather. Adherence to these performances standards is expected by the YMCA of Greater Cleveland and measurement of the adherence is part of the annual review and development plan process.
