DescriptionDEFINITION: The Fleet Manager is responsible for overseeing the agency's vehicle fleet while also managing front desk and mailroom operations at Skyline I in Tulsa. This position requires strong computer proficiency, excellent analytic and organizational skills, and the ability to multitask in a fast-paced environment while providing outstanding customer service to clients, staff, and visitors. EDUCATION AND EXPERIENCE: High School Diploma or equivalent required Bachelor's degree in business administration, analytics, logistics or a related field preferred Previous fleet management and receptionist/clerical experience preferred Strong computer skills required, including: Data entry Windows operating systems Microsoft Office applications (Word, Excel, Outlook) Demonstrated ability to multitask, prioritize responsibilities, and work independently Strong organizational, communication, and problem-solving skills Regular, reliable, and punctual attendance is required KNOWLEDGE, SKILLS, AND ABILITIES: Strong organizational and time management skills with the ability to prioritize multiple tasks. Professional interpersonal skills with a customer-service mindset. Ability to communicate effectively both orally and in writing. Knowledge of general office procedures, clerical functions, and receptionist responsibilities. Ability to maintain confidentiality and exercise sound judgment. Ability to work independently and collaboratively with staff at all levels of the organization. JOB DUTIES AND RESPONSIBILITIES: This position is responsible and held accountable for the following duties: Vehicle Fleet Operations Oversee day-to-day management of agency vehicles used for client transportation and facility support Maintenance & Repairs Ensure all routine and emergency vehicle maintenance and repairs are completed in a timely manner Coordinate with vendors and service providers to minimize downtime Safety & Compliance Ensure fleet compliance with federal, state, and local transportation regulations Manage vehicle licensing, registration, insurance documentation, and safety equipment inventory Recordkeeping & Reporting Maintain accurate electronic records including: Vehicle usage logs Staff driver information Maintenance and repair records Fuel cards, fuel consumption, and PikePass stickers Prepare regular reports for leadership using spreadsheets and fleet management data Data & Analytics Use computer systems and data tools (mileage, telematics, fuel and cost metrics) to evaluate fleet performance Identify trends and opportunities for efficiency and cost improvement Reception & Front Desk Operations Greet and welcome all clients, guests, and visitors in a professional and friendly manner Ensure a positive client and guest experience for everyone entering the facility Direct clients and visitors to the appropriate departments or staff Manage incoming and outgoing mail and deliveries This job does require the selected candidate to possess a current and valid driver's license, to have a clean driving record and reliable transportation, as occasional driving or fleet-related tasks may be required. Employee must be willing and able to perform all job-related travel normally associated with this position. Performs other reasonably related duties as assigned by the immediate supervisor or other management as requested. Meet or exceed "satisfactory" expectations at any scheduled job performance evaluation. Regular and predictable attendance is essential and expected for this position. Must perform the specific job duties as listed above to meet position expectations. In addition, must possess skill in working cooperatively and effectively with clients, staff, management, and other professional groups; in exercising mature judgment in dealing with people; in presenting ideas clearly and accurately; in reading and comprehending the English language; and in communicating effectively, both orally and in writing.
